RESPONSIBILITY LEVEL:
Works under consultative direction to manage personnel and processes. identification of parts for field customers. A technical and business leader and role model and mentor for personnel, the manager must be a recognized expert in the processes and software used within these departments. The manager participates in the long range planning for the order entry and customer support processes that these departments provide to support the continued growth and improvement of the department and the plant. The manager is a good communicator well able to represent the department and its processes with internal and external customers and fellow managers.
 
PRINCIPAL DUTIES:

  1. Manages Order Analysts and Order Entry. Manages to assure consistent, economical, and timely receipt of orders and change orders from field selection software, analysis of order completeness and accuracy. Manages entry of orders into the Largo MRP and the production of ordering information required by Planning and Production to build equipment.
  2. Manages Master Scheduling. Manages scheduling in accordance with plant capacity, engineering capacity for processing of special orders.
  3. Manages Parts Sales Support. Manages personnel in parts identification, parts sales support, warranty parts ordering and return materials authorization. Manages the flow of information to and from field sales personnel. Manages the coordination of consignment controls approval and receipt between the field sales, order management, engineering and the warehouse and manufacturing.
  4. Manages Customer Service to communicate effectively with customers information related to orders in a manor meeting customer's needs and expectations by performing duties personally or through subordinate supervisors and/or support personnel. 
  5. Manages personnel and processes to maintain data integrity, support financial reporting, inventory control, planning requirements, manufacturing information flow.
  6. Manages the processes and personnel to preserve permanent records and manage storage.
  7. Manages the financial contracts with field sales to assure that orders are accurately filled and all invoices are collectible.
  8. Manages and works with IT, accounting and other departments in improving processes for the production of order collateral for planning. Work collaboratively in the continuous improvement of configurator and translation software and order entry, reporting and customer notification systems to reduce cost, improve ship cycles, and on-time performance by supporting manufacturing and materials management.
  9. Develops budget and manpower requirements for those departments.
  10. Works with Planning, Materials Management, Engineering, Applications Engineering, Shipping, IT, Accounting and Manufacturing to supply order services, information and services.
  11. Manages the dissemination internally and to the external customer information including order acknowledgement, order status, shipping information, damage claim assistance, expediting and credit and billing information.
  12. Manages the employees and processes that support production and customer needs such as expediting setting priorities, and addressing issues.
  13. Establish and manages consignment controls programs for new equipment orders.
  14. Manages department employees and processes to quote and coordinate expedited freight quotes, shipping, tagging and special shipping requirements and communicates, obtains approved pricing and ordering of special freight costs.
  15. Manages processes that communicate shipping dates and information to the field via IT tools and with personal contact.
  16. Manages processes and personnel to coordinate the scheduling of new equipment and parts orders with planning, materials management, production and customers. Maintains quick ship records, monitors and publishes shipping cycles, and rescheduling notification.
  17. Manages process improvement to reduce ship cycle, minimize inventory, inventory shortages, promote timely planning and on-time shipment working with IT and software development, product managers, sales and manufacturing.
  18. Responsible for on-going aggressive cost reduction efforts.

  21. Maintains effective working relationship and communication with all departments.

  23. Ensures on-time deliverables while maintaining quality at the lowest possible cost.

REQUIREMENTS:
This position requires a Bachelor's degree in an appropriate field of study with four (4) to six (6) years experience in manufacturing and the technical customer service and order processing area. Materials management experience desired. Mechanical and analytical ability is a must.  Must be able to analyze and interpret complex technical procedures, business periodicals, and journals as well as write reports and procedure manuals.  In the absence of a 4-year degree in an appropriate field of study, this position requires an additional ten (10) years of related experience.  Proficiency in Microsoft Suite Applications (Word, Excel, Access, and PowerPoint) as well as Internet software and E-mail is required. Extended knowledge of MRP systems and experience is preferable
