ROLE OVERVIEW

 

Your main role will be to provide support to the PA to the CEO, assist the VP of Operations and the Group General Counsel. In the absence of the PA to the CEO you will be required to provide full support to CEO.

ROLE RESPONSIBILITIES

 

·         Provide full support to the PA to the CEO. Full support to CEO in KN Absence.

·         Support for the Group Legal Counsel.

·         Support for the VP Operations.

·         This role requires a high level of organisation which encompasses but is not limited to:-

o   Complex diary and email management

o   Co-ordinating meetings and conference calls

o   National and International travel bookings

o   Accommodation/Restaurants/Hotel meeting rooms bookings

o   Transfers/hire car bookings

o   Building relationships with staff, customers and company advisors

o   Entry and updating of business cards/contacts 

o   Meeting customer demands and providing a high level of service – understanding important customers and their needs

o   Preparation of presentation materials and documents

o   Drafting, editing and checking internal and external documents

o   Co-ordination of meetings/transfers and accommodation of visiting Suppliers/Customers or VIP’s

o   Conference and seminar attendance bookings

o   Archiving files

o   Scanning and photocopying

o   Assistance with organising fundraising events

o   Produce holiday forms and logging of annual leave for UK Exec Team

o   Maintain legal contract files

o   Expenses, accumulating receipts and preparation of expenses sheets both in relation to credit cards, various currency expenses and mileage

·         Reception - Full knowledge of reception duties:

o   Post

o   Answering/programming of telephones in liaison with IT

o   Telephone Lists

o   Organising lunches for guests.

 

MAIN job requirements

 

Experience 

 Essential

·         Ability to use Microsoft Office tools i.e. E mail, Word and Excel to an intermediate level.

·         Experience of working in an office environment.

·         Sound administrative experience within in a complex organisation.

·         Numerate and accurate with an attention to detail.

·         Accuracy and attention to detail when inputting data.
