Opportunity
Primarily responsible for assisting with all elements of Sales Support within the Partnerships team and with having specific responsibility as an Investment Sales Support/Administrator to the Director of Nationals and Networks Technical Development Director. You will be working in a team environment that will ensure you meet your individual and team objectives. Experience of the Investment industry would be an advantage. You will be proactive in your approach to both your internal and external customers. You will be flexible within your working day to ensure your teams day to day tasks are achieved within the agreed service levels.
Key responsibilities
- Complete diary and inbox management.
- Typing dictation of internal and external email communication.
- Organising and filing emails.
- Responsible for Directors travel and hotel bookings (Inc. taxis, trains, flights, parking)
- Complete monthly expenses for the Director of Nationals and Networks.
- Maintain annual budget
- Ensure timely payment of invoices and log these against annual budget
- Preparing weekly activity report notes and complete these when dictated over the phone.
- Scheduling internal meetings and external client meetings, finding appropriate venues or booking internal meeting rooms.
- Assisting in the organisation of client seminars and taking ownership of these events. To include: Logging on central events spread sheet, organising internal attendees and speakers, print literature, arrange itineraries where appropriate, printing and binding mass presentations.
- Working closely with the Presentations team to help put together presentations for internal and external meetings. Keep presentations current when up to date statistics are available
- Organising internal corporate functions i.e. annual golf and go karting
- Send invites for client meetings, forums and events - Chelsea Flower Show, AIF, JIF.
- Prepare client information for fund manager meetings (e.g. pen profiles for AIF).
- Maintain National and Network panel lists.
- Maintenance of electronic management and contact system - Goldmine/ Salesforce.
- Assist in generating text for regular and ad hoc client mailings, where these have a sales focused aspect.
- Interaction with other departments within MG including Marketing, Press and, IT.
- Ensure deadlines are met with the completion of fund questionnaires and these sent out to clients in a timely fashion.
- Update Sales figures on a daily basis.
- Prepare monthly sales figures for the team using pivot tables and charts.
- Ad hoc marketing tasks where appropriate
- Ad hoc office tasks where appropriate
- Personal tasks
- Other occasional tasks: Completion of Special Deal forms, organise meetings with fund managers via the fund manager process, act as point of contact for clients in regards to fund queries.
