Job Overview:
The Operations Department is made up of specialist teams providing services to both internal and external clients. The department role is to support the activities of the trading, Sales and Investment banking business of the company. Its primary responsibility is the processing, control and settlement of the firm’s transactions.
The Assistant’s role is to provide support for 1 MD 3 ED’s and their respective teams in the Equity and Fixed Income Middle Office areas within the Operations Division based at Nomura’s offices at Angel Lane.
Duties and Responsibilities:
- Arranging complex travel itineraries, booking travel, and arranging visas where necessary, order currency. Help arrange meeting schedules for travelling managers.
- Full diary management for up to 4 Senior Managers.
- Telephone, answering calls, dealing with queries and taking messages.
- Process expense claims ensuring they are in accordance with Company policy, process invoices.
- Handle ad hoc requests/projects.
- Update monthly org charts via Visio.
- Raising Expenditure requests and ordering special Stationary items when necessary.
- Coordinating desk/office moves when necessary.
- Maintain Holiday Sickness Records.
- Book meeting rooms video conferences.
- Main point of contact for queries.
- Maintain Email distribution lists.
- To manage MD’s inbox/delete unnecessary emails
- To manage our dept shared drive’’Edocs’’ when required
- Approve IAC/JLT requests forms on behalf of MD
- Pay American Express bill when needed
Knowledge, Skills, Attributes required:
- Previous Admin experience essential, preferably in Banking.
- Excellent communication skills – at all levels
- Strong organisation and administration skills
- Able to plan and prioritise workload
- Ability to work under pressure and to tight deadlines
- Ability to work in an evolving environment and flexible to change
- Attention to detail
- Awareness of confidentiality essential
- An effective team player
- Intermediate to Advanced Word/Excel/PowerPoint//Outlook/
