Payroll / Benefits and Data coordinator

OVERALL PURPOSE OF THE JOB
To own, oversee and process Pension and flex benefit process, data and governance on behalf of the Business. To provide a customer focused service which supports the long term vision of the HR Shared Service Centre. To be knowledgeable and confident in dealing with technical queries from a processing, systems and legislative stand-point in relation to flexible benefits and Auto-enrolment.

KEY MEASURES / DELIVERABLES

To ensure the highest levels of Customer Service at all times
Ensure all statutory rules are adhered to for Auto enrolment
Ensure all checks and balances of all data for auto enrolment is accurate and complete
Ensure all Flex benefit processes, payments and serve agreements are compliant.
Ensure the delivery of People Centre KPI’s
Proactively ensure audited processes are in place
Provide all relevant accurate financial and management information from the flex benefit and pension processing cycles

WORKING RELATIONSHIPS
The role reports to the Payroll and Benefits Manager
Works with and supports all Teams within the People Centre
Supports and offers a full customer service to all external customers, including Employees, Managers, and third party suppliers
Able to liaise confidentially with outside agencies such as the HMRC and government bodies.

KNOWLEDGE EXPERIENCE:

High level of knowledge of and proven skills in the use of Excel spreadsheets. Must be at least an an advanced user, and be able to confidently manage and manipulate data within Excel including formulas.
Excellent knowledge of statutory legislation in regards to Pensions auto enrolment.
The technical ability to run data reports and attention to detail
Ability to accurately analyse data and draw conclusions / make recommendations for improvement from findings
Must have excellent interpersonal skills at all levels of an organisation
High level of numeracy and literacy – at least to a good GCSE pass grade
Excellent communications skills, verbally and in writing
Must be confident in meeting deadlines and able to work unsupervised
Very positive approach to customer service
Must be a confident team player and work across departmental teams to ensure the resolution of issues.
Experience of preparing data load files, loading and reconciling of files on systems is preferable

Pro-active ownership of statutory and agreed Service Level Agreements for the processing of flex benefits and Auto enrolment
Take personal ownership of all aspects of the flexible benefit processes from starter to leaver, ensuring accuracy at all times
Run, balance and analyse all transactions / tasks in relation to pension and flex benefit processes
Ensure there is a robust governance of the payroll systems with the correct setup and data for benefits
Log and maintain customer service levels with external providers for flex benefits and pensions
Run and analyse reports for the auto enrolment and flexible benefits
Own and deliver the monthly metrics for the People Centre Governance reviews in relation to flex and Auto enrolment processing
Ensure continuous improvement is implemented in a pro-active manner
Involvement in HR projects as required
Ensure all filing is up to date at all times and the accuracy of the Web Now scanning system
Ensure close working relationships with People Centre teams and finance teams, particularly those involved with payroll, benefits, pensions and HR Services.
Provide full customer service to support the overall People Centre KPI’s
Help deliver P11D process on monthly ongoing basis and annual statutory returns
Ownership and audit of Global Expenses systems and processes
