What are my responsibilities?
The role of the PA will be to provide full administrative and secretarial support to coordinate and support the activities of the Head of Energy Finance EMEA/APAC together with acting as the on-boarding coordinator for new starters to Siemens Bank.
- To manage the calendars (and where requested, emails) of the Team Head, arranging internal and external meetings and filtering appointments as required. To include venue and refreshment bookings, and other necessary arrangements.
- To co-ordinate the logistics and activities of the Team Head, including travel and accommodation arrangements.
- To manage key internal and external customers or business associates of the Team Head, building relationships with key people, and resolving issues as and when required.
- To provide telephone cover to the Team Head, communicating with key customers and transferring key information as required.
- To provide documentation support via word processing, excel and graphic skills, including preparation of letters, short reports and PowerPoint presentations.
- To act as key co-ordinator of certain business activities, including international agencies, customer requests, appointments, and information / reporting requests.
- Provide all new starters to Siemens Bank with a professional and organised welcome to the business
- Manage a seamless transition from Recruitment through to first day.
- Support Siemens Bank staff and managers to resolve routine HR admin and policy queries by having a good understanding of how they access the HRDC, and other shared service support functions and guiding and facilitating resolution of queries.
- To prepare/draft meeting agendas and supporting paperwork, as appropriate, ensuring circulation to relevant individuals. To assist in the co-ordination of company communication events and regional news letters, in conjunction with corporate communications, covering all aspects of the event from start to finish.
- To provide a confidential administrative service to the above Team Head, to include clerical and secretarial duties (e.g. photocopying, binding, postal duties, filing and the production and issue of mail shots, expenses)
- To provide support for effective filing and record keeping for the Team Head, including electronic filing
- To provide effective and proactive support to other members of the Executive Office in order to assist with fluctuating workloads and deadlines. To provide cover in the event of holidays and other absence (sickness, training).
- To manage office supplies and ensure all necessary resources are available.
- To coordinate IT assistance and the organisation of new ITY resources for the Team Head and colleagues.
- To assist with the remote management of cross boarder offices and assist key personnel who may be based in an alternative location.
- Good presentation to receive senior visitors
- To build relationships with key personnel in Siemens to ensure a strong network
What do I need to qualify for the role?
- Experience of supporting senior professionals is essential
- A background within Financial Services is highly desired but experience working within Professional Services organisations is essential
- Strong administrative/secretarial experience
- Experience working within a secure and confidential environment is beneficial
- An interest in HR support would be beneficial
- Expert level MS Office User
- Effective use of MIS
- Effective use of PowerPoint and Excel
- Ideally, German (or additional European Language Skills – Written and Verbal) preferred
- Internal networking
- Good under pressure
