Personal/Executive Assistant Job in York, Yorkshire UK
A Personal/Executive Assistant is sought for a small but established and expanding York-based online software company with customers in many countries around the world. You will work with the Company Director, providing timely and efficient support, as further described below.
The company, headquartered in York, is a premier provider of online digital solutions for small business, primarily within the online marketing arena. It was founded in 2001, incorporated in 2005, and has a global client base.
ESSENTIAL FUNCTIONS/TASKS OF THIS POSITION
- Administrative support and general assistance to the Company Director
- Screen and prioritize incoming internal and external enquiries, primarily via email and phone
- Appropriately handle incoming and outgoing mail
- Provision of daily reports to the Company Director on important company metrics
- Complete business and personal errands
- Assist with the development and maintenance of Standard Operating Procedures
- Maintain contact lists, including names, email addresses, addresses, etc.
- Supply purchasing and making other payments as and where required
- Assistance with marketing activities, including setting up email broadcasts
- Assistance with accounts including liaising with accountants and banking cheques
- Overseeing and managing the activities of other employees in line with requirements
- Assisting with processing new and prospective employees, including induction process, health and safety assessment, and so on
- Locate, liaise and communicate with prospective and existing business partners, associates, clients and other employees
- Assist with and provide customer support as and where necessary
- Assist with affiliate management, including communicating with affiliates and making payments where due
- Provide cover for the absence of other employees as and when required (where appropriate training has been provided)
- Reviewing content for online publication
- Assisting with the creation of content for online publication, including articles and press releases
- Updating social media accounts
- Handle travel arrangements for the Company Director, and other employees
- Assist with the testing of new software and functionality (full training provided)
BASIC QUALIFICATIONS
- Educated to Bachelor degree level or above
- Typing to 55+ words per minute
- Excellent written and oral communication skills (English or American English)
- Strong interpersonal skills and ability to build rapport easily
- Comfortable working and communicating with Company Director, as well as clients (including clients not based in the UK) and other employees
- Highly proficient in computer use and in using the Internet
- Strong ability to multi-task, prioritize work and resolve problems or issues as they arise
- Ability to anticipate needs, respond rapidly to new challenges and adapt priorities accordingly
- Strong organizational skills
- Able to work within tight deadlines, and to be highly adaptable to rapid change in a fast-paced environment
- Ability to rapidly learn new skills, systems and technologies
- Confident and proactive work ethic, along with a positive attitude, are essential
- Ability to work independently
- Adaptable mindset that can take on new tasks and challenges as required
- Previous experience of working within a company with a strong online presence preferred, along with experience of Internet marketing
