Physical Operations recruitment
Manage the physical delivery and inventory management for the following product areas with a focus on bulk commodities, crude and refined products, precious metals and palm oil:
Day to day:
ØEnsure smooth execution of delivery including timely chartering of vessels, transfer of documentation between parties and appropriate escalation of any risks
ØEnsure the accurate calculation of PNL and risk incorporating all post trade factors impacting cost of the transaction, including price movements, fees, demurrage and other charges. Ensure timely notification of relevant information to traders
ØEnsur the reconciliation of inventory held in own account and on behalf of clients
ØEnsure the optimisation of delivery and storage costs with commercial and operational risk awareness
ØEnsure relevant and accurate information is clearly communicated to all internal counterparts on a timely basis in order to facilitate smooth operations
ØGather market information for trading opportunities, and ensure up to date knowledge of key physical market activities and participants
ØEstablish and maintain excellent commercial and client relationships (internal and external, local and international)
ØMonitor and report on credit/counterparty and market concentration risks
ØBuild in-house expertise in Physical Operations ensuring the team are well trained and understand the context of our trading activity, the risks and controls in place and ensure good coverage to ensure business continuity
ØManage the Physical Commodity Operations team ensuring that trades are managed through their lifecycle in a strong control environment
ØEnsure contracts/ contract counters are sent after appropriate coordination with Legal
ØUpdate inventory and other physical systems with delivery status; including storage movements
ØManage the negotiation of vessel chartering for the physical movement of commodities
ØManage the documentation required for shipment e.g. document instructions to suppliers, buyers, customs permits/invoices for storage terminals as well as voyage orders and LOI to ship brokers/ owners
ØManage the product quality to protect the bank’s reputational and financial risk
ØEnsure that a good document audit trail is maintained
ØEnsure that inventory systems are updated and reconciled on a daily basis
ØEnsure timely vessel clearance (including performing sanction checks) and communication with counterparties. Be proactive in identifying conditions that can delay clearance, keep all parties informed and avoid unnecessary delays in obtaining clearance
ØArrange appointments of third party service providers e.g. agents/ surveyors/superintendents/ protective agent and liaise with settlements to ensure the timely payment of all fees
ØObtain clean acceptance of vessels and notify chartering progress in this regard
ØUpdate product control regarding movement of cargoes, inclusive of storage movement, for financing/ reporting purpose.
ØProvide commodity settlement/collateral management teams with forecasts of trades requiring LC or other arrangements such as pre-payments
ØEnsure credit have timely information on the counter-party positions and outstanding contracts/settlements.
ØEnsure legal are aware of vessel load/completion dates/ potential delays at ports and any potential dispute with counter-parties
ØEnsure front office is aware of cargo movements and all actualisation around BL/ pricing period that impact PNL. Provide costs breakdown for all transactions. Update position list daily and monitor profitability/exposures to price movements against contracts.
ØEnsure legal are aware of potential claims from counterparties and work with them to ensure the validity of all claims.
ØComplete required regulatory reporting in a timely and accurate fashion
ØProvide input into new initiatives and new booking models, leveraging prior experience where applicable
ØProvide feedback to the team with suggestions to improve the efficiency and effectiveness of the department
ØEnsure the health and safety of the team at all times and develop individuals in line with their potential and aspirations providing regular feedback on strengths and areas for development
