A marketing consulting and analytics company located in Evanston, IL is seeking a PowerPoint Specialist/Executive Assistant to fill a temporary to permanent opening. The individual in the position will support the Kantar Retail Evanston office (5 Consultants including the CEO and President of Kantar Retail) and other projects from various offices as needed. Necessary qualities for a successful candidate include focused attention to detail, exceptional organizational skills, efficient multitasking and a creative/artistic production background. As a consulting firm, the work load for the support team is very reactive; the right candidate must work well under tight deadlines in an efficient and friendly manner. Candidate must be very personable, enthusiastic and able to quickly mesh well within an intimate office environment. At least two years of administrative/support experience and a college degree, preferably with a focus in a creative discipline (major/minor/concentration), are required. The selected candidate will start on an hourly/part-time basis (32+ hours per week to begin) and progress to full-time then permanent if successful.

 

General Responsibilities

 

PowerPoint – high proficiency with presentation development and modification

·         Insert/edit/create charts and graphs

·         Work with and manipulate data from consultants and analysts

·         Work with admins from other offices to keep consistent formatting and style

·         Create artistic representations of data and analyses in the form of infographics, icons, data maps, etc.

·         Create animation heavy eLearning presentations including template creation and voiceover

·         Ability to proofread and edit presentations for spelling, format, grammar, context and consistency of presentation

Microsoft Word – high proficiency with general typing, correspondence, proposals, internal memos, etc.

·         Transcribe and type daily correspondence via both handwritten copy and dictation tapes:  letters, proposals, presentation materials and reports, being certain that all materials and reports leaving Kantar Retail meet the standards of excellence that our clients expect and demand

·         Ability to proofread and edit documents and communications for spelling, format, grammar, context and consistency of presentation

Reception

·         Field incoming calls, route calls, and communicate messages in a timely and accurate manner

·         Accept and distribute of FedEx, UPS, USPS, etc.

·         Coordinate meetings via Outlook and keep lines of communication clear between consultants and clients

Travel Arrangements

·         Arrange travel reservations (air, hotel, car)

·         Prepare and distribute itinerary when necessary

Office management

·         Keep inventory/order supplies

·         Make sure all office equipment is working properly

·         Oversee all maintenance of the Evanston office

Excel – strong knowledge of the program is necessary 

·         Miscellaneous finance duties including new business forms, expense reports and project tracking

·         Manipulation of analytic data for exhibition in client presentation materials

Knowledge in programs such as Photoshop, Illustrator and Articulate eLearning software are preferred; however, Kantar Retail will train the correct candidate if necessary.

 

Shared Responsibilities

 

·         Must understand support team concept and be dependable to assist/cover when requested

·         Must be willing to assist with special projects when called upon, including those outside the Evanston office

·         Some research/fieldwork in form of interviews and audits off-site
