Position Title: Practice Manager
Location: The Well The Well at Work, Beacon Clinic, Sandyford
Terms: Permanent Full time
Direct Report: Operations Manager, Primary Care
Key Roles Responsibilities:
- Manage the administrative team to deliver the smooth daily operation of the administrative processes
- Manage and monitor all client interactions with special focus on process improvement and KPI adherence
- Work with the Head of Primary Care, Operations Manager, Business Development Manager and Medical Director to provide ongoing improvements at The Well and The Well at Work and successfully adopt new procedures and products
- Implementing and structuring practice and administrative meetings and aiding in the scheduling and structure of clinical meetings
- Administraton staff mentorship
- Performing regular audits of staff tasks (bookings, reports, income, trackers)
- Compiling the weekly staffing schedule and modifying on an ongoing basis for highest utilisation
- Reporting key performance indicators (KPI’s) to the management team
- Management and response to all complaints – including incident reporting, patient liaising and close out
- Exploring and developing potential business development opportunities
- Acting as account manager to all corporate clients
· Managing the entire local financial needs of the business including billing, invoice receipt sign off, petty cash management, purchase order system and pricing negotiations
- Aiding compilation of yearly budget forecast and ensuring finances kept within budget
- Ensure the patient experience is kept at a high level
- Managing all administration human resource requirements including submissions for payroll, leave, managing hr issues as they arise, staff training and aiding in recruitment as necessary
- Acting as IT super user across all systems
- Attend meetings as requested
- The job holder is responsible for maintaining their own continuous self development in agreement with Manager. The job holder will attend mandatory training required for the role.
- All staff, but particularly those with direct patient contact, have a responsibility for the prevention of infection
- All staff have a responsibility to work with the company risk management strategy and its requirements
Experience Required
- Experience in or understanding of a healthcare environment desirable
- Experience managing staff (3+ years)
- Business Degree
Skills Required
- Excellent communication skills both written verbal and has ability to communicate with wide spectrum of staff including the board of directors
- Excellent computer skills – excel word
- Ability to put structures and systems in place to ensure objectives are met
