JOB TITLE: Program Development Assistant

PURPOSE: To provide clerical and administrative support to both the Director of Programs Director of Development. The goal is to ensure efficient operation of the administrative functions within both departments and help the organization reach its financial goals.
ESSENTIAL FUNCTIONS:
Development
- Database management of both local and national donors. Including data entry and report generation. Areas include but are not limited to donors, weekly reports and event support.
- Assist development team with fund raising activities as needed, and actively participate in donor stewardship.
- Compose correspondence, including all recognition letters; assist with and distribute routine and special mailings; schedule appointments; return calls; and manage Development Director’s schedule.
- Support Development Committee of the Governing Board meetings including schedule, prepare agendas and meeting materials, minutes and report generation.
- Maintain bulk mailing, general mailing and postal regulations.
- Maintain master development department calendar
Program
- Support Program Committee of the Governing Board meetings including schedule, prepare agendas and meeting materials, minutes and report generation.
- Compose correspondence, including all recognition letters; assist with and distribute routine and special mailings; schedule appointments; return calls; and manage Program Director’s schedule.
- Receive and screen incoming telephone calls, staff and visitors for appointments with the Program Director.
- Create and maintain systems for managing correspondence, reference and project files pertinent to office functions and activities.
- Distribute customer satisfaction surveys with the program managers. Then collect, tabulate and distribute results.
- Manage preparation of materials and logistics for meetings; and as necessary or requested, attend meetings, and record and disseminate minutes.
- Tracking of staff training to ensure compliance. Set up necessary training as needed.
- Manage tracking system of participant compliance by department.
- Maintain operations, personnel, contract and other organizational manuals as needed.
- Handle confidential matters professionally and appropriately.
- Perform other duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree or relevant work experience
- Minimum of three years Administrative Support experience
- Excellent knowledge of current computer software applications
