Project Administrator Job in Staines Tw18 3Dz, Southern Uk

The Project Administrator’s role is to support the team and the team manager with organising / structuring, reporting and ensuring actions are completed and followed up.

Key Responsibilities

  • Keeping policy development “to-do-list” up to date and communicated to key stakeholders, so it is clear which policies are under review, which are planned for review and track progress by managing an effective email system
  • Managing decision log, ensure all decisions on medical policy by the policy team and medical directors are logged and available as reference for future decisions
  • Logging all reactive queries, review and track regularly throughout the day which queries are outstanding and ensure outstanding queries receive a response in a timely and efficient manner and within SLA
  • Supporting the preparation of meetings – generating agendas, formatting presentations from provided content, and taking notes from meetings and circulating these for agreement
  • Advising Team Manager of any issues preventing meeting query resolution within SLA
  • Managing external communications – providing support with letter writing and managing distribution.
  • Support with administration tasks within streams of work related to policy development, eg completing copy clearance process, calling healthcare professionals to obtain information, collating information in spreadsheet and presenting information in required format – typically excel or PowerPoint.
  • Establishing, developing and maintaining credibility and working relationships with PAs in Healthcare Provisioning and throughout Bupa.

    Specific Skills

    §          Experience in an Administration/PA role

    §          Excellent organisational skills.

    §          Confidence in written and verbal communication skills.

    §          Experienced telephone skills to deal with all levels of staff and customers.

    §          Detailed knowledge of Bupa’s organisational structure, roles of various departments and contacts throughout the business.

    §          Understanding business awareness.

    §          Ability to work within a team is self-motivated and work on own initiative with minimum supervision.

    §          Ability to work under pressure and meet deadlines and ability to manage multiple tasks and prioritises accordingly.

    §          High degree of energy, drive and enthusiasm.

    §          Confidence of all Microsoft packages including Excel, Word, Powerpoint, Outlook and Project.*
