Project Administrator Needed

We are a boutique architecture project management design firm looking to hire a Project Administrator in our Durham, North Carolina office.  The person would be responsible for supporting our architects and designers by performing a variety of management functions related to a project.  The position is a short term contract position starting immediately and completing May 31, 2012.  There is the potential to convert this into a permanent position, but that is not a promise.

The job responsibilities include:

·         Compile and organize project correspondence including Construction Submittal Logs

·         Contact vendors to order samples for materials, fixtures and finishes

·         Field questions from contractors and consultants and present them to staff member for response

·         Maintain electronic filing system

·         Manage Consultant Invoice approval system

·         Order, accept and distribute UPS/Fed Ex/Messenger packages

·         Support staff in assigned project based work including creating pdf drawings using AutoCAD or other software.

·         Plot drawings using CAD software (Training will be given).

·         Co-Manage the website for off-site printing.

·         Co-Manage FTP sites used for various projects

·         Perform general clerical duties to include but not limited to: blueprinting, photocopying, faxing, mailing, and filing.

·         Answer telephones and announce the call to appropriate staff member

·         Assist in general project coordination, including coordination of vendors.

·         Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

·         Additional Project work will be assigned as position grows.

Requirements:

·         0-4 years of experience.  Ideally, experience is in the construction, engineering, or architecture industry.

·         Advanced proficiency in MS Office (Excel, Word and Outlook).

·         Bachelor degree from an American accredited college or university. 

·         Strong communication skills.

·         Must currently live in the Durham, North Carolina area.
