Position Summary

This entry level Client Services Department role serves as the primary client contact for clinical studies conducted sites. The Project Coordinator works closely with all areas of business including; Site Operations, Regulatory, Quality, Sales and Marketing.

 

The candidate for this position must be detail oriented, posse’s excellent communication skills, both oral and written. Knowledge of medical research preferred.

 

 

 

·         Primary client contact for clinical studies conducted at all sites. 

·         Answer client questions where appropriate or coordinate with other staff members to gather appropriate information. 

·         Coordinate site visits and assist clients from the time of initiation to the close of the study.

·         Assign study numbers and update study timelines.

·         Prepare fees including analytical and/or statistical quotes as necessary.

·         Track and follow up on proposals using the Quote Log.

·         Prepare and track Study Agreements for clients as well as organize and maintain all Study Agreement original files.

·         Represent the company at industry meetings to promote services.

·         Prepare periodic sales and quote reports as needed.

·         Communicate changes in project scope or timelines with client. 

·         Update clients on the continuing status of their studies.

·         Request study designs and protocols.

·         Distribution of protocols, amendments and general study information to all necessary internal parties.

·         Update internal Study Timelines and conduct weekly meetings.

·         Update client profiles and disseminate information to other departments.

·         Coordinate with analytical facilities.

·         Create, maintain and archive necessary FDA regulatory documents and paperwork.

·         Prepare invoices.

·         Track accounts receivable and follow-up on outstanding payments.

·         Prepare and analyze aging report.

·         Handle general correspondence and administrative duties.

·         Support the Client Services department.

 

 

 

Qualifications:

 

·         Bachelor’s degree (B.A.) from a four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

·         Must have experience in writing business correspondence.

·         Must have the ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public. Excellent computer and organizational skills, working knowledge of Microsoft office software including; Word, Excel and Access. Good communication skills, detail oriented and the ability to multi-task.
