Purchasing Coordinator

This position is responsible for supporting the purchasing and contract administration efforts of the department including both new construction and renovation work to existing stores.

Accountabilities:
- Maintain an approved list of vendors by region. Work with the Purchasing Manager and Regional Development Services Manager to interview and RFP new vendors.
Manage and drive project closeout requirements for the vendors with the project manager.
- Liaison to Strategic Sourcing for the Development Services Purchasing Department. Work with SSG and Architecture to continue to solicit new vendors and refine the Master Service Agreements.
- Assist IT with establishing and maintaining the web based department project management system and work with all vendors to train and manage the bid, contract, purchase order, shop drawing and request for information processes on the system.
- Maintain the department Development Process and Policy Manual.
- Ensure all revisions to the Development Process, Forms, Policy and Procedure manuals are documented and distributed to Project Team for implementation.
- Support the Purchasing Manager.
- Continuous education sessions for architects and vendors.
- Work with Corporate Architects to develop current matrix plan for continued Remodel Program.
- Further develop US Prototype budget process, by region, with the Development Services Coordinator in TDB Builder.
- Manage project scheduels to ensure bid are released so purchase orders can be issued a minimum of 30 days prior to groundbreak.
- Review all project plans and specificaions and verify scope is acutally assigned to the applicable owner furnished vendors and captured on their proposals and purchase orders
- Establish and maintain Master Agreements with all approved vendors. Track and alert Purchasing Manager on renewal dates and assist with negotiations.
- Maintain regional budgets by building type for all owner purchased items for new construction and renovation projects.
- Drive project closeout for vendors with the Project Manager, Development Services Finance Administrator and Development Services Coordinators.
- Assist with Oracle implementation.
- Follow lifecycle of all departmental documentation and continue to create a paperless environment by years end.
- Transition vendors onto TDB Builder for the RFP, WO and RFI process.
- Work with Architecture to develop a catalog for new builds for all FFE and LHI's.
- Create a vendor Master Agreement with all vendors, pre-qualifying new and existing vendors.
- Populate and distribute various spreadsheets and reports as requested.
- Assist Head of Purchasing with development and maintenance of a product inventory tracking system.

Knowledge, Skills, Abilities:
- 4 year degree or equivalent experience
- 5 years related experience required
- Solid problem detection and problem-solving skills and the capability of
communicating direction and issues effectively, both verbally and in writing.
- Must be able to work well independently.
- Strong organizational skills.
- Strong interpersonal, analytical and budgeting skills.
- Advanced PC proficiency in all MS Applications.
- Technical knowledge of the manufacturing process for materials, including
but not limited to millwork, casework, furniture, marble,
granite, cast stone and banking equipment preferred.
- Experience in architecture and design. and construction preferred
- Advanced knowledge of procurement principals, theories and process.
- Strong supervisory/management skills preferred
- Excellent organizational skills with an ability to plan and forecast.
- Strong negotiation skills preferred
- Ability to read and understand blueprints.
- Proven ability to lead, influence and motivate others.
- Cross functional business team environment experience preferred
