Position Summary
ComTec Solutions, a 2011 Rochester Top 100 Company, is a rapidly growing Information Technology company with a niche market in Enterprise Resource Planning (ERP) system sales, implementation, and support. We are currently seeking a receptionist to help us handle our increased customer communications.
The ideal candidate will be quick on his/her feet, good under pressure, and will possess both analytical and creative thinking capabilities. This individual must exhibit a “can do” attitude, an outgoing personality, solid attention to detail, superior ability to multitask and the requisite level of business acumen for interacting with highly technical and demanding customers. A typical day involves problem solving, schedule coordination, time management, creative thinking, client-interaction and administrative support.
Primary Responsibilities
- Set up an efficient and effective office environment
- Manage office tasks (e.g., ordering office supplies, copier maintenance)
- Handle incoming and outgoing communications (e.g., phone, email, fax)
- Assist in coordinating meetings, events, corporate functions, etc.
- Make travel plans for the staff
- Prioritize and respond to client, employee and supplier requests
Education, Experience and Skills Required
Candidates will ideally have a minimum of three-plus years of relevant business experience with a successful track record and excellent references. The ideal candidate will be a hard worker with a strong value system and the ability to prioritize and execute multiple tasks with enthusiasm and a personable demeanor.
Other qualities should include:
- Energy, enthusiasm and results-orientation
- Ability to interact with staff and customers in a professional and articulate manner
- Experience in coordinating complicated personal schedules and ensuring travel arrangements, meetings, conference calls, etc. are properly executed
- Demonstrated ability as an excellent communicator (i.e., excellent verbal and written communication skills and active listening skills)
- Intellectually resourceful with sound judgment and effective decision-making abilities
- Proficient with internet usage and Microsoft Office products (e.g., Word, Excel, PowerPoint, Outlook, Visio)
- Well organized with effective use of time management techniques to prioritize daily activities
- Positive attitude, self-starter with the ability to manage projects independently and take on new responsibilities and challenges when necessary
