JOB TITLE – Receptionist Supervisor

Purpose of role:

To supervise the Reception Team and ensure the smooth running of all services delivered by them.

 

Reception operational hours (8am to 7pm) Monday to Friday.  There is an expectation that the post holder will co-ordinate the shift roster and be part of it.

 

Provide line management support to members of the team. Oversee the on-going development of those individuals via regular one to one meetings and ensuring development plans are in place and followed.

 

Job Description:

To actively lead the team by:

 

overseeing the smooth operation of the services provided

making sure all team members are complying to the Front of House dress code

making best use of skills of team for the benefit of the firm

documenting, communicating and monitoring the range of services, ensuring they are being met and

systematically improved

acting as a line manager for members of the team as agreed with the Front of House Manager

acting as a professional representative of Operations at all times and ensuring other members of the team do so also.

Encouraging the positive development of the team by:

 

ensuring staff reporting to the post holder are developed and presented with opportunities to fulfil their potential

Act as the professional point of contact and representative for Operations and Reception team.

Ensure information is passed to Secretaries/Lawyers appropriately. Use judgment to decide upon the best form of communication for the circumstances e.g. e-mail, telephone, face-to-face.

 

Taking responsibility to resolve any problems being experienced in the department and escalate to the Front of House Manager where necessary.

 

Regular liaison with the team, internal clients, suppliers and Head of Operations.

 

Taking responsibility for your own personal development by liaising with the Front of House Manager regarding relevant development and/or training in new skills which you feel would enhance your performance in the job

 

Manage resources within the team as appropriate. Ensure adequate resource is in place at all times

 

Managing the following:

 

Staff rosters

Holiday and Sickness Records

Development plans to ensure appropriate allocation of work

Relationships with other managers in Operations to support cross covering

 

The post holder will ensure sufficient supervisory cover is provided at all times within the Reception Team which will require constant flexibility by the post holder

 

The post holder will ensure all equipment and technology is operational and appropriately serviced and maintained.

 

Ensure administrative procedures are correctly carried out for:

 

Holiday forms

Self-certification forms

Notification of absence forms

Overtime forms

 

The Person:

-          Experience working in a professional services environment advantageous

-          Relevant experience within Administration/Reception/PA/Hospitality etc.

-          Supervisory experience

-          Good level PC literacy

-          Excellent presentation

-          Excellent communication skills
