The Ideal candidate will be responsible to process all forms of gifts, memberships and biographic updates through the database, generating records and receipts. To analyze information and documentation from various sources and update entities' records accordingly. To serve as a liaison between staff, and our valued donors, alumni, friends and prospects.
ESSENTIAL FUNCTIONS:
- To prepare deposits of donors' checks and cash and charge donors' credit cards on a daily basis, ensuring accurate transactions of all forms of tender.
- To process membership and gift batches and associated documents to produce accurate records and timely receipts; to complete and review gift transmittals as needed; to research gifts as needed to ensure correct designation.
- To research and respond to questions and concerns about gifts and biographical information.
- To enter new pledges into database after verifying required information is complete and accurate.
- To receive and process daily data updates and pledge batches, and to charge and process scheduled pledge payments on a daily basis.
- To assist the Manager in maintaining complete, cohesive, and accurate written policies and procedures of the Processing Department.
- To assist the Manager in the training and supervision of temporary staff.
- To enter matching gift claims from donors, and to work with donor and with the Matching Gifts Coordinator to ensure the accurate processing of donors' claims and the companies' matching gifts.
- To maintain the UNMF database by receiving, analyzing, and updating information to entities' records, including but not limited to obituary and death information, family relationships, change-of-address information, UNM and other institution degree information, employment information, and UNM and UNMF activity involvement.
- To scan records and documents and attach these scanned documents to the correct records in the UNMF databases.
- Performs administrative support, such as receiving and sorting mail, providing support for large bio-update projects, and assisting the Manager as needed.
- Performs other duties as assigned.
QUALIFICATIONS:
- Bachelor's Degree in a related field preferred, or equivalent combination of education and experience, is required.
- Minimum of six (6) months to one (1) year of prior database and/or other directly related experience required.
- Expert ability to maintain confidentiality of information.
- Expert ability to maintain high level of accuracy while meeting deadlines.
- Expert problem solving ability, highly detail oriented, analytical with logical thinking skills.
- Expert organizational and project management skills, including ability to prioritize and meet frequently changing needs.
- Solid customer service skills with the ability to communicate effectively verbally and in writing.
- Solid ability to work as a lead in a team environment, including establishing and documenting procedures.
- Solid computer knowledge and ability to use word processing, spreadsheet and database software programs.
