The Recruiting Operations Coordinator will provide high-level administrative assistance to the Recruiting Department through continuously showing initiative, excellent follow up, and impeccable professionalism. The Operations Coordinator will support the Director of Corporate Recruiting, Director of Field Recruiting and the Recruiting Operations Manager with various projects and recruiting initiatives. Recruiting Operations Coordinator Responsibilities: Responsible for sorting and distributing department mail, processing mail and ensure that mail is dropped off daily in time for daily pick-up. Operate invoicing system to process all Recruiting Department Invoices Confirm invoices approved and submitted to AP Track all corporate reimbursements using tracking spreadsheet Coordinate all FedEx shipping Field Recruiters travels Upcoming Career Fairs Track inventory of all marketing materials Track inventory of all office supplies and kitchen supply items. Works at the front desk every Tuesday from 5pm-6pm. Operate as a back up support to the Talent Operations Manager for all Recruiting systems. Tracks all expenditures on the corporate credit card Submits all expenses Research any missing receipts to submit Uses credit card to book/schedule career fairs or other approved items Create and update the Recruiter New Hire Manuals as needed. Maintain and update the Field Recruiting Career Fair Calendar. Prepare and coordinate Recruiter's first day Make all necessary hotel and /or flight travel arrangements for corporate interviews and welcome packets Perform weekly/monthly Recruiting Department audits as directed by the Recruiting Operations Manager Work on various projects as delegated by the Directors of Corporate/Field Recruiting and the Recruiting Ops Manager Recruiting Operations Coordinator Qualifications: Three years experience in an operational and/or administrative support role Must be able to work in a fast paced environment with demonstrated ability to handle multiple competing tasks and must take a proactive approach in anticipating the needs of the department heads Extensive experience in coordinating events, travel, lodging, orientations, training, etc. Experience with vendor coordination and detailed record keeping Proficiency in MS products to include: Excel, Word, PowerPoint and Outlook TitleMax is an Equal Opportunity Employer
