Research Grants Finance Officer

The role is for at least 6 months

(a) Primary function

• Financial management of European Regional Development Fund (“ERDF”) funded project called Innovate London (IL).

• Preparation of IL claims and submitting them via ERDF online system, called MCIS, whilst maintaining and developing project financial records and databases in line with funder’s terms and conditions.

• Timely responses to all queries raised by the IL project funders in order to progress quarterly claims to a speedy conclusion.

• Production of end of project reports to assist in bringing the IL project to a close within the next six months.

• To provide similar input to the above for a further closed ERDF project transferred from another University faculty, called Digital Design Manufacturing (“DDM”).

(b) Other duties

• Day to day finance functions such as processing invoices, raising purchase orders, salary re-charges, checking of coding and liaising with finance staff at Central Finance Department

• Managing the strategic financial planning and budgeting process including offering professional advice to the various project holders.

• Support Head of Enterprise Unit and project managers to manage and maintain their budgets and monthly phasing / profiling

• Monitor and report on Enterprise Unit and individual account balances, together with future forecasts as required by the Head of the Unit.

• Reporting and monitoring of financial performance through the circulation of monthly management accounts.

• Keep notes of relevant support meetings with managers of enterprise projects and presenting financial reports to project holders and other relevant stakeholders at such meetings.

• Use a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to develop systems and processes, and related correspondence and documents, relevant to the financial management of enterprise projects.

• Create and maintain appropriate electronic and paper record filing systems, whilst working closely with project holders to avoid project overspends.

• Working closely with and taking guidance from the Head of the Enterprise Unit and nominated management accountant for all financial matters relating to the Enterprise and Innovation Unit.

• Keep members of the Accelerator incubator team up-to-date on progress on specific areas of financial responsibility and other relevant developments, as and when necessary.

• To participate in communicating systems, procedures and updates thereof to relevant parties within the University.

• To support the administration of financial audit processes for externally-funded and enterprise projects across the University.
