Duties Responsibilities
Reporting to the Senior Vice-President, Sales (SVP), you will primarily support the SVP of our European and Middle Eastern divisions, as well as providing secondary support to the regional Vice-Presidents and other members of the Sales Management team if needed. You will encounter significant variety in your daily work within our fast-paced and exciting sales environment.
This is an ideal role for an experienced EA that is sales-minded and sales-focused since the SVP and the Sales Management team will heavily rely on you as their key point of contact. Through your valuable contributions, you will help the Sales Management team to keep the business moving forward and growing.
- Provide full executive support to the SVP in administration activities, including but not limited to:
- Serving as the front line representative of the SVP’s office i.e. handling incoming phone calls for the SVP, welcoming visitors/customers etc;
- Reviewing and answering correspondence;
- Preparing and reconciling expense reports;
- Gathering input developing presentations;
- Drafting pre-meeting agendas briefings;
- Executing travel arrangements;
- Maintaining updating appointment schedules and calendars;
- Coordinating meetings, corporate functions and conferences;
- Preparing auction travel packages;
- Maintaining updating filing database systems.
- Closely work with the Vice-Presidents, Sales and their staff, including but not limited to:
- Assist in organizing, drafting and providing input to Divisional Action Plans,
- Assist in the communication of the divisional strategic initiatives.
- Support Sales Managers with the monthly financial reporting, sales reports and sales budgets as required.
- Act as a resource for customers who require assistance and delegate as appropriate.
- Serve as a translator (oral written) where needed.
Working Conditions:
- Travel internationally up to 15% of the time.
- Work extended hours and on weekends as needed.
- Provide administrative support and customer service at our auctions.
Qualifications and Requirements
- A university or college degree, plus a minimum of 3 years of experience in an administrative leadership role such as Executive Assistant or Senior Administrative Assistant.
- Previous experience working in a sales team or providing administrative support to a sales team is a big asset for this role.
- Proven ability to maintain the strictest confidentiality with all business-related matters.
- Advanced level skills in English (oral written).
- Fluency level in Russian (oral written) is a must.
- Fluency in any of these languages is also a desirable asset: Spanish, French, Dutch, Italian and/or German.
- Strong dedication to provide superior customer service at all times to both internal and external customers; a professional demeanor is a must.
- Highly organized with a keen attention to detail, plus a disciplined, systematic approach to completing tasks and deadlines accurately and on time.
- Advanced technical skills and proficient working knowledge of MS Word, Excel and Powerpoint.
- Ability to quickly learn and master new concepts and software systems.
- Experience working successfully in a team-oriented, collaborative environment.
