Role:

 

The primary function of this position is to provide administrative and operational support to the Sales staff. The responsibilities include but are not limited to: working alongside Account Executives to process all deals/drawdowns and consolidations received by email/fax and arrange deal buybacks, verify all new beneficiary information for set up by Operations, deal with all post transaction queries and investigations required by Operations, Credit and Compliance, and to work alongside Credit and Compliance departments in the on-boarding process.

 

This position is a vital part of the team as a whole as it functions as a liaison between various departments and the sales staff.  This position reports to the sales manager.

 

Responsibilities

 

Sales Staff

 

1.       Perform deals, drawdowns and consolidations in accordance with Company policies and procedures.

2.       Manage post transaction queries by liaising with clients and the related Company department in order to ensure they are brought to a satisfactory conclusion.

 

Credit and Compliance

 

1.       Work with Account Executives to gather and input the necessary information as required by AFEX policies and procedures to set up new accounts.

2.       Work with the Compliance and New Accounts team to ensure that all necessary information is supplied in order to process the new accounts according to the Company’s policies and procedures.

3.       Analysis of Client Application Forms, to establish client’s trading requirements.

4.       Interpretation of Credit Reports to determine Risk Ranking.

5.       Work with Credit to ensure all required information, including Financial Statements (if applicable depending on the line requested) are submitted and all appropriate fields in CRM completed.

6.       Review of client requirements and findings from Credit report to establish Risk Score.

7.       Completing the Credit Review Note required during the On boarding.

8.       Responsible for managing AR and AP queries which does not include processing ACH (a responsibility of the AR department nor changing incoming payment method).

9.       Liaison with Account Executives.

10.    NEW:  if requested by Account Executives, assist in processing “short” draw downs according to the Credit policy written instituted on 8 December 2011.

 

Operations

 

1.       Verify all data required is present for new beneficiary set up by Operations and liaise with the client when further information is required.

2.       Work with Operations staff to ensure that requested information is provided in a manner recorded in the policies and procedures to set up a template for the new account. 

3.       Other duties as needed.

 

 

 

Authority:

 

1.       Authorized to input trades into system as approved by Sales Manager

2.       Authorized to set Credit limits for clients based on the 80/20 rules set out by Credit.

3.       Authorized to send beneficiary instructions by client to Operations.

4.       Authorized to perform draw downs within parameters / permissions granted by Sales Manager.

 

Accountability:

 

1.       Accountable to the Sales Manager

2.       Provide excellent customer service to Sales staff.

3.       Provide proficient and efficient service to Compliance, Operations and Credit Staff.

 

Experience/Requirements:

 

•         Minimum of 1 year administrative support or customer service experience

•         Attention to detail

•         Ability to multi-task

•         Excellent written and verbal skills

•         Team player who can work with minimal supervision.

•         Proven time management skills, with the ability to priorities tasks correctly and manage conflicting deadlines.

•         Strong organisational skills

•         Previous experience in Financial Services or knowledge of Financial Services terminology
