Position Overview:

This position provides an important link between the E-Commerce Manager, Partner Sales and our major external website partners including: amazon.com, costco.com, sears.com, target.com and more. Reporting to the Manager of E-Commerce, this multi-functioning position involves order processing, customer service, administrative support to the retail team, and maintaining partner databases and communications. It is a high-volume, multi-tasking position that requires flexibility, persistence, professionalism and a high degree of accuracy. We require a self-motivated, organized and dynamic team player who enjoys working in a fast-paced environment and is not easily frazzled by changing priorities and tight deadlines.

Key Responsibilities:

Order Entry / Customer Service

• Processing purchase orders daily and providing advanced shipment notifications (ASNs) for various accounts
• Providing exceptional customer service to ensure customer satisfaction and conflict resolution, including but not limited to, mis-shipments, late shipments, damages, defectives, returns, invoicing issues and late payments
• Liaising with our manufacturing plant and sales reps to ensure their key account orders are shipping in a timely manner
• Notifying all relevant parties of any major orders coming through the system for inventory purposes
• Assisting with web order processing and in-coming calls when primary person is not in the office or inundated with incoming calls

Administrative

• Maintaining partner account files by updating customer information, pricing, new product submissions and product descriptions as required
• Becoming the expert and go to person for EDI set up, SKU and product info set up and all other requirements needed to sell into new accounts.
• Managing all partner site maintenance projects, web site clean-up, inventory and uploading images and video clips
• Retrieving back-up support for any and all account deductions, issuing credit memos against vendor consignment orders on a weekly basis.
• Tracking compliance charges by account to ensure we are complying with regulations and identifying areas for improvement or streamlined processes
• Working with the Art Department to ensure Project Requests are completed and delivered on time
• Researching competitive information, lead generation and market research for sales opportunities
• Preparing Retail sales kits and power point presentations.
• Preparing and analyzing Sales Marketing reports as required.
• Supporting day-to-day execution of sales marketing initiatives by providing administrative support to the Retail team, including but not limited to travel arrangements, sending samples to clients, assisting with tradeshows.
• Other duties as required

Skills and Qualifications
 
• A minimum 2-3 years order entry, customer service and administrative experience
• Familiarity with EDI and different retail platforms
• Experience working within the Amazon Portals would be a definite asset
• Very strong attention to detail. Excellent accuracy in entering PO information, shipping addresses, tracking numbers
• Superior organizational skills, with the ability to prioritize and handle multiple tasks and deadlines, works well under pressure and has a sense of urgency
• Effective communication skills, verbal and written.
• Excellent follow up and follow through
• Trouble shooting/problem solving skills
• Intermediate to Advanced MS Excel, Word, PowerPoint
• Post secondary education or equivalent work experience
• Bilingual or second language would be an asset
