Manatt Phelps Phillips is currently seeking a Secretarial Coordinator for their New York City Office. This position will be responsible for providing front-line supervision of the legal secretaries, ADS and receptionist staff in the New York City office.
Responsibilities:
- Responsible for monitoring and managing the secretarial shares and work flow to ensure coverage for day-to-day activities, absences and to balance workloads.
- Approves roll call and vacation requests for the NY secretaries
- Monitors secretarial overtime.
- Analyzing the need for temporary secretary staffing, including monitoring and approving expenses associated with temporary secretaries
- Assists with the recruitment, hiring, and orientation of new and temporary secretaries within the NY office.
- Assists in resolving Employee Relations issues, including documentation, and participates in the disciplinary process up to and including terminations.
- Assists in the performance evaluation process, including gathering data, analyzing, writing and delivering performance evaluations.
- Would participate in the job training of newly hired secretaries and identify training needs for existing secretaries.
Qualifications:
- At least 3 years of previous experience as a Senior Legal Secretary or Lead.
- Qualified candidates will have a high school diploma or equivalent (Bachelor's degree preferred)
- The ideal candidate will have prior law firm experience.
- Previous Human Resources experience and knowledge of employment laws is highly preferred.
- Must have good judgment and the ability to tactfully handle multiple sensitive situations with staff and attorneys at all levels.
- Familiarity with timesheet programs a plus.
- Must be extremely detail oriented, organized and have great follow through skills
- Must have the ability to maintain strict confidentiality.
- Must have excellent oral and written communication skills.
- Must have advanced knowledge of Microsoft Office and other relevant legal software programs
- Must have the ability to promote a positive interaction and environment between staff and attorneys.
