Secretary Assistant

 

 

The Secretary Assistant is required in our Amsterdam office to support a team of 5 individuals. This role is unique to most administrative support positions as the suitable candidate will not only be required to provide high-level administrative support to client facing managers, but also take on office management and sales support duties

 

Main tasks Responsibilities

·         General office management duties

·         Work closely with the European marketing team in London to provide assistance with event organizing

·         Diary management, answering telephone calls and responding to requests

·         Maintaining executives’ schedules

·         Daily report compilation/distribution

·         Word processing and spreadsheet applications

·         Travel arrangements, itinerary preparation

·         Expense reports and credit card reconciliation

·         Research and other special projects as assigned by managers

·         Maintenance of the CRM database

·         Support with the preparation of marketing and sales material for client meetings

·         Experience as a team admin assistant in a similar small business environment for a global organizations

·         Experience working for busy high-level executives in a fast paced environment

·         Experience working in financial services or a strong understanding of the industry is preferred

·         Exceptional telephone management skills and etiquette required

·         Effective calendar management  (timely, accurate, information gathering)

·         Experience with heavy international travel; visa knowledge, etc.

·         Strong organizational and multi-tasking skills

·         Proactive; must take initiative in learning and applying new skills

·         Advanced-level skills in Microsoft Outlook, Word and Excel.
