The Massachusetts Teachers Association is currently seeking qualified applicants for the position of Secretary for the divisions of Governmental Services and Center for Education Policy and Practice. This position provides assistance primarily to Governmental Services (80%) and Center for Education Policy and Practice (20%) through the application of secretarial, organizational and computer skills.
ESSENTIAL JOB FUNCTIONS:
§ Provides secretarial and general clerical support.
§ Types, files, copies, operates fax and other office equipment, including computers.
§ Answers telephone, screens and routes telephone calls and mail.
§ Maintains accurate electronic and physical files and records.
§ Provides information to members on-site and via telephone.
§ Prepares and coordinates materials and arrangements for conferences and meetings and serves on-site.
§ Prepares correspondence and reports on own initiative.
§ Attends meetings and records notes.
§ Identifies potential problems and alerts the appropriate GS or CEPP staff.
§ Carries out responsibilities with a positive cooperative attitude.
SPECIFIC RESPONSIBLITIES:
§ Maintains familiarity with division programs, activities and procedures and MTA priorities, and prioritizes work accordingly.
§ Creates and maintains academic records database for MTA.
§ Maintains the confidentiality of academic records and information.
§ Routinely provides secretarial and telephone support to divisions as needed.
§ Assists in preparation of special projects as assigned.
§ Operates computer equipment to input, set-up, edit, customize and deliver word processing, documents, reports, spreadsheets and data base information.
§ Maintains computer files as required.
§ Proofreads and edits work.
§ Operates all office equipment.
§ Prepares and revises difficult projects and lengthy documents.
§ Develops format for special assignments including detailed forms, policies and procedures.
§ Maintains thorough knowledge of operating procedures.
§ Assists in all phases of the word processing process.
§ Assists with conferences and meetings as required.
§ Performs other related duties as required.
MINIMUM QUALIFICATIONS:
§ High school diploma. College or business training preferred.
§ Advanced training and proficiency in Access
§ Three to five years of office experience including on-the-job secretarial experience.
§ Typing skills: 60 WPM; proficiency in common business computer applications including MS Office, Word, Excel, and Access..
§ Ability to learn new computer applications.
§ Ability to meet the public with confidence and to work harmoniously with members and staff.
§ Excellent organizational skills and conscientious attention to detail.
§ Excellent telephone manner.
§ Neat, professional appearance and articulate presentation.
§ Willingness to take direction from department personnel.
§ Ability to complete work involving a variety of assignment types, locations, and personnel.
§ Ability to lift up to 20 lbs.
