Standard Poor's Ratings Boston Office is seeking a secretary who will report to the office manager and support the day-to-day administrative functions of the public and corporate ratings business units in the Boston Office. In addition, the secretary will serve as assistant to the Lead Analytical Manager (LAM) of the Infrastructure group.
Under general supervision, the selected individual will be responsible for following established procedures and specific assignments, such as:
- Answer phones, greet visitors, distribute mail and overnight packages, direct callers to appropriate person, or screen calls as directed
- Fax, copy and scan documents as requested;
- Assist with maintaining contact mailing lists and other data management tasks;
- Make travel arrangements for senior level executives; prepare travel and expense (TEreports as a delegate to the LAM, manage calendars and schedule conference calls as requested;
- Implement a system to gather information from several sources and consolidate various reports into one monthly activity report for the LAM;
- Work with Office Manager on external meetings which includes copying, preparing handout materials for guests, setting up conference room/receive food service orders and ensure that all guests are logged into the building security system;
- Calendar management to maintain schedule for two main conference rooms
- Generate work orders and create e-tickets for facilities management, IT and building management issues;
- Learn Standard Poor's policies and procedures related to handling of business records; file documents and/or ship off-site in accordance with records management schedules;
- Process applications for new employee photo ID
Skills
Qualifications include but are not limited to the following:
- A minimum of 3 years of secretarial/administrative experience, preferrably in financial services
- Proficiency in Microsoft applications, such as Outlook, Word and Excel is required.
- Excellent written and verbal communication skills are essential.
- The ability to learn new computer applications and proprietary software is required.
- Associates degree required; Bachelors degree preferred.
