Job Description:
The job responsibilities associated with this role may be expected to include but not limited to:
- Ensure that all relevant department documents are recorded and filed properly, timely, systematically and accurately;
- Coordinate with different departments, on cost control, office resources, security, rental, legal, compliance, develop office system, promotion matters etc;
- Provide secretarial/administrative support, including answer and screen calls, handle clients requests / questions, fax documents and follow up, arrange travel / meeting / conference schedule, and handle annual leave applications and expense claims;
- Type English and Chinese documents and prepare document templates for team use
- Prepare and process detailed expense reports in a timely manner and according to the Firm’s policy;
- Other administration duties, such as supporting of seminars and team/company meetings.
Skills and Abilities
- Proficient in verbal and written English and Chinese (both Mandarin and Cantonese);
- Effective verbal, listening and communications skills;
- Good time management skills;
- Proficient in MS Word, Excel, PowerPoint;
- Ability to work efficiently (both independently and with team members) under pressure with flexibility, and handle multi tasks at a fast pace;
- Ensure business confidentiality at all times.

- Well organized and detail minded;
- A team player with good interpersonal skills, cultural awareness and sensitivity;
- Honest and trustworthy.
Qualifications
- At least four years of administrative / secretarial relevant experience;
- Worked in a multinational company and/or a legal firm and familiarity with the financial services industry would be a plus.
