Job Description:
As a Senior Administrative Assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a manager or a team of principals. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. Duties may be expanded to include coordinating meetings, coordinating travel arrangements, preparing presentation materials, ordering and maintaining supplies, submitting expenses and/or reviewing incoming correspondence and preparing responses. Additionally, you will exercise independent judgment, escalating serious or unique problems to higher levels. You may provide direction and guidance to less experienced team members.
- Minimum of 3 years experience as an Administrative Assistant supporting senior level managers
- Minimum of 1 year experience with event/project coordination
- Superior verbal and written communication skills to prepare internal / external correspondence and presentations on behalf of others
- Absolute discretion when dealing with confidential matters
- Proven experience interacting with senior management
- Advanced ability to organize
- Experience coordinating domestic and international travel arrangements (i.e. air, hotel accommodations and ground transportation) with travel agency; prepare detailed itineraries and assure accuracy and timely delivery of plans/tickets
- Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint)
- Ability to adapt procedures, processes and techniques to the completion of assignments
- Ability to work with a sense of urgency and have a drive for results
- Effective interpersonal skills
- Excellent telephone etiquette
- Knowledge of general office procedures (i.e. filing, correspondence, scheduling, phones and taking messages)
- Knowledge of company policies and procedures
