Senior Administrative Assistant Job in San Antonio, Texas US

Provide office program management and administrative support.

1. Change Management (Letters/responses to the client, RFIs, WCRs, POP Extensions, Mods, etc) and Risk Management (Letters to client, client meetings, PDs, CAPs, LD response letters, etc). 

2. Maintains multiple Executive calendars, meeting schedules and appointments.

3. Answers phones, provides and receives information concerning matters relating to the Executives.

4. Handling all incoming / outgoing mail, administrative filing, and general office supplies.

5. Creation of presentations using MS PowerPoint.

6. Coordinates travel arrangements for the executives - including domestic and international.

7. Attends corporate and community meetings, prepares and transcribes meeting minutes.

8. Preparation of expense reports and approvals.

9. Prepares reports, confidential corporate email and correspondence as directed.

10. Establishes and maintains Corporate files.

11. Conducts research as directed.

12. Writes, coordinates and oversees corporate printing projects.

13. Assists in planning and coordination of corporate functions and corporate meetings.

14. Oversees Executive kitchen inventory and beverage ordering.

15. Hospitality Coordination:

i. Monitors completeness of facility arrangements for all Food beverage arrangements for corporate meetings.

ii. Maintains and manages Corporate apartment.

iii. Schedules and coordinates apartment use.

16. Coordinate with other functional areas (IT/HR) to maintain required records and office equipment.

17. Function as our cost control for business development, schedules, and travel.

18. Performs other duties as assigned.

 

QUALIFICATIONS:

1. Bachelors Degree and 5-10+ years Executive Administrative experience as an Executive Administrative Assistant or Office Administrator.

2. Proficient with Microsoft Office applications.
