Senior Administrative Assistant recruitment
The Senior Administrative assistant will administer the Firm’s Intranet. Duties often require ample knowledge of the firm’s products and the securities industry. Other duties may be of a confidential nature and require in-depth knowledge of the organization’s policies and procedures. Duties may include clerical assistance with correspondence; and administrative support as well as routine office related functions.
Essential Job Functions:
• Assist with preparation of mass mailings, special reports, and firm marketing literature.
• Administrator of firm’s Intranet including training of employees on the intranet.
- Handle all confidential information with discretion.
- Arrange complex travel and other logistics including commercial and charter flights, hotels, and car rentals.
- Complete extensive and complex expense reports including reconciliation of corporate credit card.
- Screen incoming mail, publications, and other correspondence.
- Event planning for sales conferences, company road shows and other sales related functions.
- Compose, type or word process a variety of letters, memorandums, and reports in an accurate and efficient fashion.
- Review and respond, if warranted, to e-mail for senior staff in their absence.
- Data input to specific marketing and sales software in a timely fashion.
- Timekeeper for Marketing Associates, Communication and ADM staff.
- Perform special project work assignments.
- Assist High Yield Team with marketing efforts.
- Coordinate Outlook calendars for senior sales team.
- Be willing to take care of mundane tasks when necessary.
- Required to work on-site during the week due to the nature of the job entailing frequent face-to-face interaction with all levels and departments.

Education/Experience:
• A.A.S. Degree preferred in Secretarial Science
- High School Diploma or equivalent plus five (5) years experience in an Administrative Support position.
• Financial industry experience a plus
