Senior Administrative Associate

 

Responsibilities:

The Senior Administrative Associate will provide direct support to our Senior Director of Quality.  Additionally, this person will serve as the single administrative professional for the Quality department.  He/she will work independently on complex department assignments that require judgment and initiative in resolving problems and making recommendations. The candidate will perform office support functions including answering phones, scheduling appointments, setting-up meetings, opening mail, filing and retrieving records. He/she will coordinate and procure office supplies and equipment including computers, printers, mobile phones and hand held computers. He/she will manage electronic calendars, meeting schedules, travel arrangements and coordinate menu for lunch meetings. The candidate will follow-up on a wide range of administrative services including group training, hiring, payments and refunds. He/she prepare, maintain, process and track budgets and expense reports, check requests, memberships, etc. The candidate will coordinate travel, meeting and conference arrangements and ensure proper assembly and distribution of materials relating to meetings and conferences. He/she will participate in preparation for Regulatory Inspections. He/she will compile and prepare presentation materials including slides, graphs and other written materials provided by various sources.

 

Requirements:

An Associate’s degree and eight years or administrative and clerical experience or a high school diploma and 10 years administrative and clerical experience is required. Executive secretarial skills/background or equivalent are required. Advanced word-processing and computer skills, including speed and accuracy, on Microsoft Word, PowerPoint, Excel, and Internet browsers are required. Experience in creating and editing presentations, graphics, and spreadsheets is required. The candidate must be able to prioritize and meet project deadlines with little supervision. He/she must have the ability to work a flexible schedule, prioritize and delegate tasks to maximize efficiency and maintain confidentiality. He/she must be able to work independently and be self-motivated. The candidate must have the ability to maintain and analyze financial data such as budgets. Outstanding organizational skills, including ability to manage several projects concurrently is important. Good judgment and initiative in resolving problems and making recommendations are required. The candidate must possess a high degree of proficiency in standard business software applications including word processing, spreadsheets, Power Point and databases maintenance.
