Senior Administrator, FX Service Delivery

PURPOSE

The incumbent will be responsible for ensuring all Foreign Exchange related transactions and relevant queries are processed in a timely and efficient manner utilizing processes and procedures which mitigate and minimize risk across the business.

This role will entail the monitoring of high value and time critical instructions, therefore the incumbent should be experienced in working in such an environment and be familiar with the high risks associated with Foreign Exchange transactions. This role will also have an element of people management to ensure the daily workflows are carried out in a timely and accurate manner. Product knowledge is essential.

 

PRIMARY RESPONSIBILITIES

Monitor workflows to ensure appropriate controls and policies are in place for effective management of processes and procedures in line with both internal and market rules and regulations

Oversee and contribute in the daily performance of the team , ensuring all transactions are processed through all queues within Kondor+, FEA, Milvus,  ensuring queries are raised and cleared in a timely and efficient manner

Ensure the processing of all internal trade related transactions eg Corporate Action and Income related Foreign Exchange are adhered to within deadlines

Ensure daily cash payments are processed within the deadlines set

Ensure all instructions from the Trading Desks are processed within the deadlines set

Ensure timely resolution of the Query Tracking System ( QTS ) in respect of issues relating to the FX Service Delivery team

Contribute to Oversight discussions, monitoring performance and working with other global regions to ensure an effective and efficient service is provided

Ensure Foreign Exchange mandates are set up accurately and in a timely fashion

Monitor reconciliation reports to ensure timely investigation and clearance of outstanding items

Monitor GTSS FX matching system to ensure unmatched items are resolved within two hours

Ensure errors and omissions are maintained at an absolute minimum, or where occurring are not repetitive in nature as part of managing key risk indicators

Working with management to ensure the Services Level Agreement and operating procedures are effective on accuracy, timeliness and completeness of all processes.

Validate confirmations within stipulated SLA, ensuring timely deliverables to providers.

Contribute to environment of continuous improvement that assesses workflow, processes and procedures on an ongoing basis, ensuring maximum efficiency and quality within the department.

Pro-actively address and escalate areas of concern and where SLA has not been met and continuously identify opportunities to enhance our service.

Follow pre-set procedures ensuring complying with applicable regulatory requirements as well as corporate audit and risk management requirements.

Contribute to satisfactory results in all internal external audits

Ensure appropriate liaison with Risk and Control area within Operations.

Accountable for ongoing satisfaction of clients/counterparties by ensuring deliverables meet client/counterparties needs and expectations.

Work with management to successfully execute change while supporting fellow employees through the process, and keeping them focused on business priorities.

Assist the manager in the daily supervision of the area encompassing reviewing the team’s performance.

Assist the manager with the team’s competency skills and training matrix

Assist the manager in reviewing new initiatives to ensure robust procedures and processes are adopted to support these products

Support any related projects by performing User Acceptance Testing, writing and review of procedures etc

 

EDUCATION /OR EXPERIENCE

Required

Technical knowledge of Foreign Exchange Cash Management products and practices

Pertinent industry and regulatory/compliance knowledge

Strong communication, presentation and inter-personal skills

Ability to work under pressure, managing workloads and time efficiently to meet stringent deadlines

Client/Customer/Market focus

Good written/verbal communication skills

Demonstrate a calm and logical approach with an eye for detail and a very high level of processing accuracy

Flexibility towards working hours in order to meet business needs

Display a professional attitude towards work at all times

Time management skills and ability to prioritize

Preferred

Knowledge of RBC IS proprietary systems – Milvus, QTS, TLM, Lotus Notes, Kondor +, FEA, GTSS

          

AUTHORITIES, IMPACT, RISK

Reports directly to the Manager, FX SL Service Delivery, Client Operations

Accuracy of processing is key to prevent financial loss and in maintaining RBC IS’s credibility

Responsible for ensuring that the daily workflow is processed within deadlines in collaboration with the Malaysian and Toronto offices

Work closely with the TMS Client / Market dealing desks

Participate in projects to assess and manage the impact of change on the FX Service Delivery  team

WORKING CONDITIONS

The role requires flexibility in working hours and ability to work to tight deadlines across various tasks with superior results.

The role may require working in excess of normal hours to ensure workloads are managed.

Shift work and Bank Holiday working required on a rotational basis.
