Job Description Job Classification: Contract Our client in Ft. Meade, MD is currently seeking a Senior Contract Specialist to join their team immediately. The successful candidate must have at least 4-7 years of Contracts experience. The purpose of this position is to assist the Contract Services Division in carrying out administrative functions supportive to the overall performance of the Contract Administration Unit. Incumbent will manage contract costs, including subcontractors, vendors, etc. to ensure justifiable and ethical actions within the procurement functions. RESPONSIBILITIES 1. Familiarization with all contracts currently held by Contract Services. -2. Serves as lead for all renewal, subcontracting, delivery orders and overall Management of one TSFM contract. -3. Prepares pricing packages for renewal of contracts as assigned. Coordinate input from operational staff. Responsible for ensuring all portions of the proposals are completed in a timely and presentable manner. -4. Serves as central liaison vendors and other customers/Agencies for reprising, renewal, billing, and contractual concerns/issues. -5. Administers contractual activity to include modifications, BPA's P.O.'s, IDIQ, Extra Work, etc. Develop system for tracking any necessary items for successful and effective contractual arrangements and their management. -6. Maintains necessary contract and subcontract records and files in an up-to-date and organized manner. 7. Provide all relevant information to the appropriate operational staff that will be responsible for implementing and monitoring each contract. -8. Ensure properly authorized payments of vendors and subcontractors. Process invoices for payments in compliance with contract terms. -9. Maintain billing files; prepare monthly invoices for contracting activity and follow-up monthly with accounts receivable. -10. Accountable for compliance issues pertinent to contract activity. 11. Assist in development of contract documents i.e. solicitations, change orders, source selections, etc. *12. Set-up and conduct pre-bid conferences and walk-thru, renewal meetings, and other on-site activity as required. *13. Coordinate and maintain subcontract work. Prepare and submit solicitations and issue award in conjunction with operational staff. Maintains files and ensures accurate payments for completed work. *14. Maintain assigned Contract files and filing system. *15. Update contract board monthly with renewal information to include contact names, date, and contract price. 16. Serve as back-up to the Director of Administration in his/her absence. 17. Other duties as assigned. - Essential Functions PHYSICAL QUALIFICATIONS Must be able to work 80% of the time processing paperwork and communicating via telephone with supervisors, contract sites, vendors and staff. Must be able 20% of the time to move about, speak and hear to communicate with customers and staff at various sites. QUALIFICATIONS Associates Degree or six years of contract procurement experience. Proven track record of issuance of RFP's solicitations, preparation of cost estimates and contract or subcontract awards. Strong writing and oral skills. Proven skills in spreadsheet and work processing. Database experience a plus. Membership in NCMA or comparable professional association. Join Aerotek Professional Services 174 .
