Senior Manager of Legal Document Services Job in Wheeling 26003, West Virginia US
Our Document Processing teams produce complex documents, recover/restore corrupted files, carry out proofreading, and are subject-matter experts (SME) on word processing software, primarily for clients in the legal arena. This role combines a traditional management position, with the excitement of managing a client relationship.
Primary Job Responsibilities:
- Manage a national Word Processing department with team-members located both on-site at our Offsite Services Platform in Wheeling, WV as well as team members on-site at client locations. Management responsibility for the full spectrum of employee management, development and training.
- Subject matter expert to both the client and Document Processing team.
- Create, maintain, and enhance strong customer relationships across various levels of the client organization.
- Adhere to Williams Lea policy in addition to client site policy.
- Ensure timely completion of necessary administrative duties such as payroll procedures, invoicing and accounting procedures and all of the client’s and Williams Lea’s required monthly management reports.

People Management:
· Define job functions and requirements for all roles
· Interview, select and develop a high performing site team
· Provide leadership in a customer service intensive environment; ensure team provides outstanding service and high quality.
· Direct and coach to manage performance and professional development of team
· Provide leadership including planning needs assessment and team development
· Ensure new employee induction process is followed and job descriptions and expectations are reviewed with all new employees
· Lead communication using all region and Williams Lea vehicles
· Manage the disciplinary process, ensure that performance feedback is given to employees in a timely and consistent manner and documented and approve in line with company policy
· Manage the temporary staffing model to ensure that the site is appropriately staffing and operating at the most cost-effective level
· Ensure training plan is in place for all team members and for themselves
· Ensure all Human Resources matters are managed effectively and consistently
· Approach site compensation, promotional increases and merit increases strategically, balancing employee rewards and site profitability
· Communicate and ensure environment that supports Williams Lea values
· Oversee supervisors or leads in the day-to-day management of staff and production
Operational Management:
· Establish and implement standard procedures for site operations and oversee the management of the site
· Respond to customer inquiries; conduct follow-up on customer concerns or questions
· Drive risk assessment of operational and client issues at sites, and troubleshoot significant operations / service delivery issues
· Build relationships with key vendors and ensure they are satisfying the business needs of the client
· Ensure accurate and timely completion of administrative duties such as payroll, using proper procedures, billing and accounting using PeopleSoft procedures, employee related paperwork and all monthly management reports
· Manage and control inventory and assets
· Assess customer needs in order to recommend appropriate equipment, supplies, and other assets
· Periodic analysis of current operational model against client demands and site trends to ensure optimal performance
· Communicate and ensure compliance with company and client policies at site; federal and / or state regulations and laws
· Establish effective business relationships with Staffing Consultants to ensure complete understanding of job requirements and client culture
· Adherence to Williams Lea brand compliance for all signage, client communication and other Williams Lea materials
Client Relationship Management:
· Build relationships with end users; manage their perception and expectations
· Support end-user proactively and professionally
· Resolve issues escalated by the client administrator and communicate significant issues to the Account Director
· Use feedback from monthly and quarterly client meetings to meet client administrator expectations
· Ensure timely and effective production of required client and WL reports.
· Identify and monitor competitor’s presence within your account in regard to services we can provide for potential business expansion
· Work with the Account Director to advise customers as to potential benefits, features and capabilities of new or revised services and service enhancements
· Maintain an up to date contract overview
Financial Management:
· Be accountable for overall financial performance of accounts again budget.
· Maximize profitability through the effective utilization of assets and site resources, as well as identification of additional revenue opportunities.
· Understand team financial targets, analyzing financial trends, identifying shortfalls, and creating action plans to recover revenue or cut expenses as needed.
· Manage the budgeting process
· Work in conjunction with the finance team to develop budgets and forecasts
· Prepare and review the monthly invoices
· Meet monthly financial duties as described in the Accounting Close Calendar
· Develop and analyze the monthly performance and progress reports, including expense management and achievement of financial targets
· Ensure contract, pro-forma and other internal controls compliance
