Provide strategic management and leadership for the Office Services business area.  Manage Staff to ensure achievement of department and business area objectives.  Act as Office Service management representative to senior CSS management

 

Essential Job Responsibilities


Strategy and planning

·         Provide strategic leadership for the Office Services function at the Departmental level.

·         Strategize with CSS senior management to meet CSS goals and objectives

·         Plan for staff impacts and development needs at the departmental level.

·         Manage and adjust workflow processes, monitoring efficiencies, and coordinating improvements in order to optimize service and cost effectiveness.

 

Policy, process and procedures

·         Implement process improvements within the operations to increase the level and quality of service provided to ensure effective and timely delivery to internal and external customers.

·         Provide strategic leadership for the Office Services function at the Departmental level.

·         Manage and adjust workflow processes, monitoring efficiencies, and coordinating improvements in order to optimize service and cost effectiveness.

 

Environmental awareness/Customer focus

·         Build and maintain strong relationships with key internal and external business stakeholders to ensure that product and service delivery meets the business’s expectations

·         Manage external service providers to ensure delivery of services and goods in line with contractual arrangements and to ensure value for money

·         Build and maintain constructive relationships with CSS senior management (Business Operations Manager and CSS Senior Vice President); maintain open and constructive dialogue between Office Services and CSS senior management.

·         Represent Office Services in relationships with external stakeholders, e.g., vendors

 

Technical Performance

·         Handle printing and project support, scanning document handling, switchboard operations, inventory, inbound and outbound

·         mail, shipping and receiving, and office supply fulfillment

·         Provide CSS senior management with annual budget

·         Approve Statutory Reporting projects

·         Advise CSS senior management of project issues and corrective actions required

·         Provide strategic leadership for the Office Services business area at the Departmental level.

·         Collaborate with Office Services team leaders on projects and initiatives.

·         Effectively use available tools in administration and tracking of job responsibilities to determine necessary staffing levels.

·         Ensure Office Services is in compliance with legal standards and approved practices

·         Manage projects in adherence to corporate standards and best practices

·         Communicate and support organizational changes at the Departmental level

·         Recognize and plan for staff impacts and development needs at the departmental level.

·         Collaborate with Office Services Team Leaders to evaluate staffing level needs and budgetary impact of projects.

·         Effectively use available tools in administration and tracking of job responsibilities to plan and adjust Staff assignments

·         Manage Mail Center operations including but not limited to inbound and outbound mail operations, internal deliveries, and scanning and indexing operations to support The Americas operations

·         Respond to technical questions and identify additional training for experienced staff to ensure quality output of resources

·         Manage internal and external printing and project operations to ensure quality and cost effectiveness

·         Manage switchboard operations to meet business needs

·         Manage office supply and forms distribution operations to support business needs

·         Create, populate, and maintain database allowing consistent capture of operation outputs for analysis of productivity to ensure cost effectiveness of operation

·         Oversee operations of specialized equipment

·         Provide technical subject matter expertise to internal and external customers as assigned

·         Leverage process knowledge to support unanticipated business fluctuations/changes

·         Recognize and report system problems to allow for system upgrades

·         Resolve complex issues by doing research and working with appropriate subject matter experts in order to avoid or overcome any disruptions to the workflow of the operation

·         Research new technologies and promote best business practices to increase productivity and cost effectiveness

·         Manage assigned projects in order to ensure successful completion

 

People Management

·         Establish Department policy on continuing education and training requirements to meet Departmental skill set needs and to enhance Staff skill sets

·         Manage Department career development needs through PMP process; recognize highly performing staff and recommend to CSS senior management for advancement

·         Notify CSS senior management of poorly performing staff and recommending corrective actions; assist Office Services Team Leaders in enforcing corrective action

·         Manage departmental and organizational changes in the department

·         Represent Office Services staff to CSS senior management and represent CSS senior management to staff.

 

Qualifications

Education Required

·         BA or BS or equivalent experience

 

Experience Required

·         5+ year’s Office Services leadership experience

·         Experiencing managing department in a demanding fast-paced environment

·         Experience developing department budgets and organizational structure

·         Experience managing projects to deliver improved efficiency

·         Experience managing projects and developing cost estimates

 

Skills and Knowledge

·         Knowledge of current industry system and software solutions

·         Proven ability to communicate to senior management level

·         Knowledge of industry best practices associated with Office Services
