Service Administrator Job in Vancouver, British Columbia Canada

Perform all task related to administering work order process within the assigned region.  Provide administrative and clerical support to the Service Manager.

 

·         Open all work orders upon receipt of a work order request, and assure necessary information is identified on the work order request and follow-up to obtain missing information as necessary.

·         Generate weekly Work In Progress Reports: a) review with Service Manager, Service Coordinator, Shop Superintendent to identify completed work b) distribute to Service Management Team Regional VP as a follow up to "no PO" and "exceeded PO" exemptions.

·         Follow-up as necessary on exemptions

·         Post maintain all costs related to open jobs in the work order system (labor, expenses, PO costs, transportation costs, other related costs)

·         Ensures timesheets for jobs are received in a timely manner, accurate, and signed by employees superior and customer

·         Verify all related costs related to a completed work order have been received and posted, and follow-up as required to obtain costs not yet posted

·         Invoicing for all Shop and Field Service jobs within Key Performance Indicator (KPI) timeframe, and close completed work orders

·         Distribute low Gross Profit Margin (GPM) report on a monthly basis

·         Ensures timesheets are sent to HR payroll based on instructions and dates/times for final submission.

·         Maintain all work order files for active jobs and archive all completed files.

·         Initiate Purchase Orders as required

·         Coordinate with logistics to assure parts are posted, returns are processed, and all transportation and brokerage charges are posted to the work order

·         Maintain the Service Data Base(s)

·         Prepare Utilization Reports as directed

·         Other Service related tasks as required or assigned based on regional differences in organization and/or structure.

Qualifications:

 

Education: High school graduate plus two year associate degree in business preferred but not essential.

 

Experience:   Not less than 5 years relevant experience. Knowledge of AccPac preferred.  Must be proficient in Microsoft Word, Excel, Powerpoint and Access.

 

Personal Skills:  Results-oriented, organized, analytical, attention to detail a must.  A high level of interpersonal skills to handle sensitive and confidential situations is required.  Position continually requires demonstrated poise, tact and diplomacy.
