SUMMARY/GENERAL DESCRIPTION OF RESPONSIBILITIES


:

This position performs a combination of administrative, human resources, and operational functions in support of the Eareckson Air Station contract, in a fast-paced environment. The lead is also responsible for leading the administrative department staff at Eareckson AS. As a Working Lead, may perform all duties of the Administrative Assistant as needed as long as this does not interfere with their administrative and safety responsibilities.

 



ESSENTIAL DUTIES JOB FUNCTIONS:

Directs and coordinates activities of the Eareckson A.S. site administrative department


·
        


Inspects crew work and assigned work areas to insure all work performed follows all Company and Industry Safety Standard and Practices


·
        


Ability to multi-task and set priorities, to handle multiple projects with varying deadlines

Initiative, and the ability to anticipate and address needs before being asked

ADMINISTRATIVE DUTIES: 


·
        


Prepare, edit and draft outgoing correspondence regarding all aspects of the contract pertaining to business on a daily basis at Eareckson Air Station


·
        


Assist managers in producing reports and input of documents


·
        


Provide necessary support to administrative staff as appropriate


·
        


Answer multi-line telephone system, screen and route incoming calls as necessary


·
        


Schedule, coordinate and prepare necessary logistics and materials for meetings, conferences, training, etc


·
        


Maintain daily calendar for meetings, reports, Over and Above projects, and all deadlines pertaining to the operation at Eareckson Air Station


·
        


Process all incoming and outgoing mail (receive, date stamp, and disseminate, noting deadlines and/or correspondence requiring immediate attention, etc.)


·
        


Also in-process and out-process all US mail coming in and leaving Eareckson Air Station at the local post office


·
        


Ensure postal procedures are maintain at a local level


·
        


Update the Performance of Work Statement (PWS) with all modifications and updates for the Base Operation Support Contractor


·
        


Complete or ensure the timely completion and transmittal of all CDRL reports to the government, and any other monthly or weekly reports that the government might request


·
        


Maintain inventory of all stock in the company store


·
        


Establish and maintain a forms file for all company forms and Air Force forms


·
        


Update Technical Order library to be current in accordance with the Air Force Technical Order requirements

 



HUMAN RESOURCES DUTIES: 


·
        


Maintain a modified file of personnel records for all CMI employees, as well as third-party contractor information files


·
        


Maintain a CMI employee evaluation log


·
        


Perform site orientation for all new employees


·
        


Maintain a Time off Station (TOS) schedule and a vacation schedule
  Verify all exempt employees’ time off station is taken and accurate


·
        


Collect personnel information as required for submission to CMI PHQ

 



OPERATIONAL DUTIES: 


·
        


Procure all site arrivals of all visitors, civilian, third-party contractors and government employees arriving at Eareckson Air Station


·
        


Assist greeting all distinguished visitors arriving at Eareckson Air Station and arrange for proper accommodations and special needs


·
        


Assure all visitors arriving at Eareckson Air Station are provided appropriate accommodations and anything necessary to make their stay a comfortable as possible  


·
