Role summary
In the role of Governance Compliance, you will be responsible to govern the supplier chain contracts and agreements within EMEA. This role will develop governance processes and manage IFM relationships with service providers to monitor high level requirements and delivery of facility services, service level agreements and track and monitor contract compliance.
As Spend Analysis, you will be able to provide diagnostic data throughout the organization on spend data to achieving long-term sourcing savings goals. Carry out opportunity assessments offering rapid, affordable, spend visibility. Provide spend reports, and a detailed sourcing roadmap that outlines sourcing opportunities and approaches for the organization to tackle in the short, middle, and long term. The sourcing roadmap will prioritize category initiatives based on opportunity size and complexity to deliver immediate and lasting impact to the business.
Responsibilities
- Responsible for developing and maintaining the sourcing function processes, policies, best practices, standard documents and case studies database.
- Administer contract audit program to ensure compliance to administration of vendor files, certificates of insurance, amendments, letters and other contractual documents.
- Responsible for data integrity of contract database - oversee maintenance and enhancement of central contract database
- Establish relationship with Corporate Legal and Risk Management to ensure all contractual terms and conditions comply with standard and other contract changes are formally reviewed and approved by legal/risk management.
- Ensure compliance to sourcing and contracting policies and procedures as per the client policy and procedures
- Responsible for designing, implementing, maintaining and analysing the data in the E1 sourcing and other sourcing systems.
- Study past historical data to research potential trends, to analyze the effects of certain scenarios and supplier performance.
- Manages Supplier service levels and key performance indicators, compliance in the EMEA region.
- Assurance of supplier contractual compliance
- Responsibility for ensuring the Quality Audit process is applied by the sourcing managers (Internal, Client, External) the approach mechanism being sample audits, half yearly and yearly reviews.
- Spend Analysis
- Consolidate, rationalize, and supplement spending data across the entire company to gain comprehensive visibility providing the support sourcing team the data to develop concrete action plans for tackling savings opportunities with the sourcing managers on the accounts and improve compliance. In addition to supporting the ability for savings targets and profitability goals, your objective is to support the business’s other strategic goals, maintaining a diverse supply base and minimizing supply risk.
- Spend Data: Cleansing and classifying spend data by service line category, type of industry and project. Spend data transformation that ensures accuracy to give detailed spend visibility. Create a common taxonomy - develop a classification tree that supports the Sourcing Team split by service line, supplier, country, type of industry. Cleanse Source Data – clean and map spend data across all systems used in JLL (OneView) and clients. Configure repeatable rules for correcting inconsistent or missing information within purchase history and forecasts. Maintain data quality by leading and support the Sourcing/Category Managers to make corrections and access real-time spend data
- Supplier Data: Provide statistics on each supplier’s status in the industry, revenue, and impact to the business. Provide key supplier’s credit scores, spend split by business divisions, and across service lines to put JLL in a position to evaluate and exposure any risks.
- Analysis: Provide diagnostic sourcing-specific reports and ad-hoc reports to allow identification of opportunities in planning and event execution to support the decision making processes.
- Compliance: Monitor purchasing activity to ensure buyer compliance, vendor purchase price adherence to contract terms, identify new categories of spending, track and report on diversity spending, and track savings against targets.
- Conduct national and regional Preferred Supplier performance review meetings, when requested, and manage vendor scorecards, contract compliance and service obligations.
- Work in cooperation with Finance and the field to ensure that financial transactions are processed in an orderly and timely fashion-goal is to ensure invoice amounts are correct and paid on time.
- Be proactive and manage internal and external customer expectations.
- Position is critical to Business or Function capability and provides a measurable competitive advantage for the client.
- Accountable for and contributes significantly to profitability and/or cost containment through direct PL costs.
Requirements
- Degree in Business Administration or Contract Law desired
- Knowledge about compliance processes and internal controls required.
- Excellent inter-personal skills, organization skills and strong analytical ability.
- Excellent communication skills – oral and written.
- Excellent PC skills, proficient in Word and Excel; knowledge of Access PowerPoint.
- Language skills with a minimum of English and another European language.
