As the Supervisor of Administrative Office you will plan, organize, supervise, and coordinate the clerical staff. You will also aid executive in staff capacity by coordinating administrative services, such as personnel, budget preparation and control, housekeeping, records control, and special management studies, maintain flow and quality of work for department and perform diversified administrative/coordinative duties in support of the business operation of a department head or equivalent. Responsibilities Include: Supervises, coordinates and leads the work of assigned staff. Hires, trains, disciplines and supervises staff. Coordinates collection and preparation of operating reports, such as time-and-attendance records, terminations, new hires, transfers, budget expenditures, and statistical records of performance data. Assigns work and ensures that it is carried out correctly. Approves vacation and holiday time and ensures adequate office coverage at all times; reviews and submits departmental payroll sheets. Performs diversified administrative duties including, but not limited to,: Taking dictation and transcribe dictation and compose correspondence, reports, and memoranda for the Department Head. Scheduling of all business appointments, meetings, etc.; Maintaining files and records; Taking minutes at meetings; Performing receptionist duties; Collecting payments; Preparing statistical data; Ordering supplies and maintaining inventory. Establishes and maintains administrative office policy. Maintains and updates division manuals, as necessary. Issues and interprets operating policies. Studies management methods in order to improve workflow, simplify reporting procedures, or implement cost reductions. Prepares reports including conclusions and recommendations for solution of administrative problems. Analyzes unit operating practices, such as recordkeeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures. Reviews and evaluates existing clerical systems to maximize productivity and efficiency. Recommends, communicates, and implements approved procedures. Additional Requirments / Information
