Description

Under limited direction, performs secretarial and administration assignments of confidential nature. Provides key administrative support to the Director of HR to include scheduling and organizing activities and travel, answering multi-line telephone and assisting callers, and preparing and completing invoices for payment. Assists in the development of presentations and communications. Serves as reception point for HR by fostering appropriate traffic flow while ensuring line client needs are met. Maintains appropriate confidentiality of all information received. Distributes incoming prepares outgoing mail for HR. Assists in preparing and distributing letters and documents and ensures return of required paperwork. Partners with HR team members in providing a high level of client service to employees, candidates and vendors alike. Assists in maintaining organization charts as required. Maintains confidential HR filing system. Prepares standard and ad-hoc reports and maintains various HR-related data. Assists HR management with special projects and programs as requested.

Qualifications

Typically requires a high school education. More than 5 years of experience. Must have knowledge of a variety of computer software and spreadsheets (Microsoft Word, Excel, Access and Power Point). Must have a high level of interpersonal skills to handle sensitive and confidential issues. Position requires poise and tact and diplomacy. Must be able to interact and communicate with all levels of the organization. Work requires continual attention to detail in composing to detail, typing and proofing materials, establishing priorities and meeting deadlines.
