Title: Sr. Client Accounting Specialist
Reports into: Client Accounting Supervisor
Overview: The Sr. Client Accounting Specialist is a critical member of the Client Accounting team who plays an important role in the revenue cycle of the firm. This position is primarily responsible for customer service support in all aspects of billing: assisting secretaries with timely and accurate production of bills, transmitting electronic invoices through a host of electronic billing vendors, adhering to billing policies and outside counsel guidelines, and responding quickly and courteously to client accounting help line and in-box requests.
Essential Functions:
Provide superior customer service to the lawyers and support staff in order to ensure bills are issued timely and accurately, inclusive of client terms and discounts
a. Use best practices to create, present and distribute client bills
b. Consider client and lawyer preferences when creating bills
c. Comply with firm billing guidelines
Submit electronic bills through a host of on-line billing services
a. Troubleshoot electronic billing rejections in order to achieve success bill transmission
b. Maintain required matter, timekeeper, rate, diversity, and accruals
c. Adhere to Outside Counsel Guidelines
Respond to lawyers’, secretaries’ and clients’ requests regarding unbilled inquires, time and cost entries, and rate related inquiries
Clearly Communicate firm billing policies, preferences and guidelines to lawyers and clients
Provide accrual information to clients and attorneys
Generate monthly prebill reports to billing attorneys
Utilize firm standard reporting tools
Assist timekeepers and secretaries with diary entry issues and transfers between matters
Ensure that requests for special rates and alternative fee arrangements are communicated to management and implemented accurately
Train and support secretarial staff in best billing practices
Requirements:
- Associates degree or higher in accounting, finance or business
- Strong analytical and organization skills
- Superior customer service and a demonstrated ability to work in challenging and dynamic environment
- Self directed with a strong work ethic; capable of working independently with limited supervision
- A minimum of two years experience in a professional services environment using time and billing software such as Elite or Aderant/Expert
- Preferred working knowledge and experience utilizing a variety of electronic billing on-line services (CounselLink, CTTyMetrix 360, Collaborati, DataCeret, LegalPrecision, Serengeti, ELIOT, and Corridor)
- Must be a team player with strong interpersonal skills
- Must possess a high degree of confidence and professional maturity and demonstrate excellent oral and written communication skills
- Demonstrated proficiency with MS Excel, including advanced features such as pivot tables, filtering, graphs and formulas
- Proficiency with MS Word
- Ability to occasionally work outside of established business hours and adjust personal schedule to meet deadlines as required
