Description

Role Overview:

The incumbent is responsible for performing a full range of diversified secretarial and administrative functions of a highly responsible and confidential nature for a Senior Manager or Global Operating Committee (OC) member.

Key Responsibilities
- Proactively manage the diary for the Head of GFI, EMEA
- Assist with team as requested with expenses, meeting set up, room booking, travel.
- Proactively manage the in-box for the Head of GFI, responding to emails where appropriate and ensuring deadlines are met.
- Ensure manager is well prepared for meetings. Collate all relevant meeting paperwork.
- Screen telephone calls, enquiries and requests and handle them when appropriate.
- Communicate on a professional scale interacting with senior individuals internally and externally handling confidential material and communication.
- Make travel and hotel, ground transportation arrangements
- Support the Head of GFI when he is out of the office.
- Manage expense claims for the Head of GFI
- Manage invoice payments for the team.
- Co-ordinate meetings as required, collate distribute papers, take minutes and ensure they are distributed in a timely manner and actions followed up.
- Provide holiday cover and absence cover for other PAs in the department,
- Liaise with clients, arranging senior level meetings and developing a good working relationship with client and their PA's.
- Take ownership of all logistics of client/prospect meetings.
- Assist with preparation of Powerpoint presentations.
- Ensure all IT requests are logged promptly and monitored till completion.
- Ensure holidays and sickness absences are logged promptly.
- Support team administration as directed by Head of GFI EMEA.

Qualifications

Person Specification:

Candidate should be proactive in their day to day work and flexible in their working hours.

Professional attitude essential.

Excellent verbal and written communication sills

Proficiency with Microsoft office

S/he will have a moderate level of latitude in exercising independent judgment in the execution of this role.

S/He should have good math skills, excellent oral/written communication skills, as well as organizational/interpersonal skills.

Must be able to interact and communicate with people at all levels of the organization and may be required to interact with external clients / counterparties
