Sr. Receptionist – Washington, DC 20003

System One is looking for a front office professional who can multi-task and keep this office on its toes!!    Will work with the Facilities Group in performing the duties required. 

What you need to know:

1.       6-8 month temporary position working 40 hours per week

2.       Hours: 8:00a to 5:00p

3.       Drug screening and background check required

4.       Office location is downtown D.C.

 

The Successful Receptionist must have the following:

·         High school diploma (or equivalent)

·         3-5 years of front office  receptionist  work experience required

·         Some college level education or facilities related certification coursework preferred

 

SKILLS/COMPETENCIES:

·         Requires strong verbal communication skills, demonstrated keyboard and basic data entry skills.

·         A familiarity with established procedures and reference documents.

·         Organizational, interpersonal and customer service skills are required.

·         Working knowledge of corporate company policies and procedures (a plus)

 

POSITION OVERVIEW:

Under general supervision, performs various administrative, clerical, data collection, data entry, and report writing tasks specific to the Facilities group.  Assignments require a working knowledge of standard Company processes and proficiency in utilizing related PC software.

SPECIFIC RESPONSIBILITIES:

·         Responsible for greeting visitors.  Maintains visitor sign-in book.

·         Answers incoming calls, screens callers and directs calls accordingly. 

·         Supplies information regarding the organization to the general public, clients and customers.

·         Maintains and updates information on Safety and Employment/Labor Relations bulletin boards.

·         Coordinates office supply order and distribution.

·         Coordinates conference room schedules.

·         Coordinates and/or schedules any special conference room requests (i.e. projectors, video teleconferencing, easels, catering, etc).

·         Acts as Emergency 911 Desk Respondent.

·         Processes OCR's for vendor invoices and submits for payment.

·         Maintains appearance of conference rooms/break areas/common areas.

·         Attends scheduled facility team meetings.

·         Encourages safe and secure work environment and practices.

·         Adheres to corporate security standards and policies.

·         Assists with facility project work.

·         May receive, distribute, apply postage to outgoing mail, and ensure evening delivery to post office or late pickup box.

·         May ship and receive mail and packages.

·         May provide one facility paid UPS shipment per week to Houston and Pasadena (expenses, payables and Pasadena overhead distribution).

·         May stock shared equipment with paper and toner; call for maintenance when required.

·         May stock coffee bar and break areas.

·         May orders mailroom supplies.

·         Performs other responsibilities unique to the location
