General Summary
The Staff Accountant II position applies principles of accounting to analyze financial information and prepare financial reports. This position is also responsible for managing the Company’s monthly cash and bank account reconciliations. This position is the primary contact for the Company’s insurance claims. This position is also responsible for managing the Company’s payroll function and acts as a liaison for the Corporate Human Resources and Accounting departments.
Essential Duties and Responsibilities
· Work on an individual and team basis to provide timely and accurate reporting of financial information
· Open, maintain and close property and other tax accounts, file appropriate quarterly and annual, returns and payments
· Maintain master insurance files and prepare insurance reports for the Company; file vehicle accident claims for all field divisions
· Maintain fixed asset listings and depreciation schedules
· Maintain weekly cash report for Company’s executive team
· Maintain payroll operations and advise management team of needed updates or changes; determine payroll liabilities; calculate employee federal and state income and social security taxes and employer’s social security, unemployment and workers’ compensation payments
· Complete monthly bank reconciliation on cash accounts
· Create special financial reports; collect, analyze and summarize account information
· Prepare reports; compile summaries of earnings, taxes, deductions, leave, disability and nontaxable wages
· Prepare and record journal entries; review and reconcile balance sheet and income statement accounts; perform trend analysis; initiate process flows and controls
· Support Controller with day-to-day operations and month-end close procedures
· Reconcile financial discrepancies; collect and analyze account information
· Reconcile healthcare statements with employee enrollments
· Act as primary liaison between the Corporate Human Resources and Accounting departments to ensure that employee information is accurate in the payroll system; maintain payroll records; collect, calculate and enter employee changes into system
· Review and ensure accuracy of employee time cards, hourly and salary compensation and employee personal information; responsible for payroll fund transfers and management reports related to labor and other payroll functions
· Work may require weekend and/or evening work and some travel may be required
Other Duties and Responsibilities
· Open and close necessary government tax accounts; file appropriate quarterly and annual returns and payments
· Assist in the maintenance and development of cash flow and consolidated financial statements while adhering to Generally Accepted Accounting Principles (GAAP) and current ethical standards
· Assist the Accounting department with various assignments and special projects
· Initiate wire transfers and other Company payments
· Reconcile intercompany accounts for month-end closing
· Provide backup support and assist the Accounting department with various assignments and special projects
· Additional responsibilities and duties as assigned
Supervisory Responsibilities
· No direct reports
Knowledge, Skills and Abilities Required
· Bachelor’s degree in Accounting and/or Finance and two (3) years of related experience and/or training or equivalent combination of education and experience required
· Excellent oral, written and interpersonal communication skills
· Proficient with Microsoft Office Suite, ADP, QuickBooks and other job related software; solid understanding of Microsoft Excel features and formulas
· Familiar with standard concepts, practices and procedures in the accounting and payroll field
· Customer service oriented with passion for high customer satisfaction and achieving operational excellence; ability to interact with all levels of staff including senior management
· Ability to analyze and define problems, prioritize work flow, multitask, meet deadlines and remain flexible
· Must be able to demonstrate attention to accuracy on all duties and responsibilities
· Ability to maintain confidentiality
· Must comply with Company and Occupational Safety and Health Administration (OSHA) established safety policies and requirements
Physical Demands and Working Environment
· Physical demands: The position requires the incumbent to remain in the sitting position for prolonged hours. While performing duties of job, employee is occasionally required to stand, walk, use hands to handle or feel objects, tools or controls; reach with hands and arms; talk and hear. Employee must occasionally lift and/or move up to fifteen (15) pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
· Work environment: Working conditions may include being in an open (shared) cubicle/workspace area.
