Supervisor Support Services

Provides direction/supervision to a group of non-exempt and/or entry level exempt employees (usually 3-8) engaged in administrative/clerical activities. Performs ongoing operational tasks to support a multi-function department. Creates management reports. Work is reviewed for soundness of judgment and overall quality and efficiency. Essential Functions: - Supervises daily operations and actively assists and provides direction to subordinates as required. - Coordinates multiple operational tasks supporting the professional unit. - Interviews, trains, evaluates and disciplines support staff. - Ensures projects are completed on schedule following established procedures and schedules. - Researches, compiles and creates reports from databases and spreadsheets. - Monitors department budget, timelines, staffing, space and equipment needs. - Makes recommendations to correct variances. - Acts as liaison between management, other departments, and subordinates. - Facilitates communication between related departments and own department. - Maintains harmony among employees and resolves grievances. - Promotes a team environment and provides work direction and guidance including coaching, professional development and training. - Resolves errors and complaints from client departments and other managers. - Ensures compliance with department/organization policies/procedures. - Performs ongoing operational tasks for professional unit, as needed. Secondary Functions: - Supports Director of Medical Education. Supports residency program relationships with affiliated residency programs and allied medical centers. - Manages department budget. - Maintains annual spreadsheet, reviews on line financial statements and submits quarterly report of restricted funds to BSF. - Ensures compliance with hospital and outside accreditation agencies. - Reviews and approves resident expense reports before submission to online KPERS. - Manages daily food budget for the programs. Creates reports (i.e., database, spreadsheet, minutes) required by internal and external agencies including ACGME, Physician Education, CREOG, and Medicare. - Maintains accurate and up to date residency program information and data for accreditation agency and regional graduate medical education. - Supports residency program in one or more specialties. - Coordinates GMEC meeting. Qualifications: Basic Qualifications: - Prior supervisory experience in a business environment required. - Associate's degree, or equivalent experience. - Ability to effectively coordinate multiple projects, use time management skills and independent judgment. - Strong customer service and interpersonal skills required to communicate effectively with all levels of management internal/external. - Proficient with word-processing and spreadsheet applications used by department. - Must be able to work in a Labor/Management Partnership environment. Preferred Qualifications: - Significant hospital administrative experience. - Advanced writing, reading and analytical skills. - Prior Graduate Medical Education experience preferred. - Ability to respond to top level management inquiries and assemble highly confidential/sensitive information. - Strong customer service skills required to communicate effectively with all levels of management internal/external, as well as applicants to the residency programs. - Initiative and analytical ability to research and prepare reports. - Advanced experience with Microsoft software used by the department:Word, Excel, Access, Powerpoint and LotusNotes.
