Business Description

The Transfer Agency (TA) division is responsible for providing the services and administration outlined in Client Service Level Agreements, within agreed parameters and applicable regulations and corporate policy. The main functions administered are to effect the dealing instructions on behalf of investors for the products outsourced by our management companies, to ensure an accurate register, and provide all necessary oversight and control services associated with these products.

The departments within TA include: Treasury, (Reconciliations, Cash Management, Settlements); Distributions; Statements and Mailings; Business Change; Communications Centre; Servicing; Business Oversight and Controls; Register ServicingInvestor Servicing, Broker Administration and Transaction Control; Service Delivery; Dealing and Box Management; Management Accounts; Middle Office; DC Pensions; Client Service Centre; and Document Management Centre.

Team Description

Business Oversight and Controls comprises five distinct areas

Governance and Management Information
Financial Controls
AML and Financial Crime
Business Continuity and Access Controls
Internal Control
Embedded Control (functional reporting into Asset Servicing Control Information Risk)

The role requires all tasks are completed within the relevant time-scales and to a required auditable standard. The successful candidate will be required to assist within the team with any ad hoc tasks as and when required and escalate any issues or potential problems to Manager.

Principal Responsibilities:

To facilitate periodic certifications of core TA systems to ensure access is appropriate. Ensure reporting received is robust, working with GAMO where necessary. Relevant applications to include UTAS, CMS. Maisie, Mobius.
Oversight of the annual SailPoint certification process for all GAMO provisioned applications ensuring all business areas adhere to the timeframes in place.
Monitor appropriate SAAs (System Access Authorisers) to ensure access is approved at the correct level.
Investigate and review shared data store areas for potential restructure and implement housekeeping rules to the operations to reduce space issues
Maintain centralised Leavers / Transfers process for TA and corresponding forms / communications.
Drive consistency through user-based profiles / tools to simplify access (requests) and ensure appropriate to roles and responsibilities.
Work with GAMO to develop usable MI, ensure validation of user workgroup access occurs on a six monthly basis and work with the operational teams to promote user knowledge of the structure, parameters and raising access requests.
Act as GAMO access liaison for TA, developing knowledge to a level suitable to act as SME.
Assume responsibility for the Corporately defined ISA role (Information Security Administrator) and duties as defined in the BNYM Information Risk Management Programme document, available upon request. Guidance for this role will be given by the Information Risk Officer for TA.
Escalate any issues or potential problems to Manager.

Process Management (day to day)

The role holder will be expected to continually look for re-engineering and process improvement opportunities at a process, client or industry level
The role holder will be required to support their Line Managers in representing the department during visits of compliance officers, auditors, Trustees Depositories, and management companies.
The role may include travel to other UKTA locations, including Offshore operations.
The role holder will also be expected to participate in various projects affecting the department and to deputise for the manager as necessary.

Technical Skills, Knowledge, Systems Knowledge (and associated skill level)

Good general understanding of Transfer Agency and relevant operation areas.
Good systems knowledge of Core TA applications to include but not limited to UTAS, Rufus, EMaisie, Maisie CMS (IW).
Strong knowledge of Microsoft Windows, excel and other office applications.
Experience with manipulating large amounts of raw data

Academic/Professional Qualifications (or equivalent qualifiers)

Maths and English to GCSE C Grade or above preferred
