Property Management – Manchester

Team Administrator required to work directly with Director and Property Managers in regional office (in central Manchester) currently responsible for 10 residential developments containing over 1,800 flats.

 

Administrator required who can work on own initiative as well as supporting the principal. Must be numerate and IT literate with Microsoft software and have an ability to multi-task and fit in scheduled work load with unplanned tasks and events.

 

Experience of residential property management either in the lettings or managing agents industry would be useful, however it is more important to be very well organised and able to work well under pressure when dealing with a constant high level of telephone calls and emails.

In July 2008 Rendall and Rittner formed a subsidiary company to manage buildings in the North West, based in Manchester.  This company is managed by Matt Kirk with two assistant property managers and a team administrator.  Due to the recent growth of the company and internal staff promotions, the position of Team Administrator in this office is now available.

 

Rendall and Rittner is a member of the Association of Residential Managing Agents and the Royal Institute of Chartered Surveyors and offers training towards the Institute of Residential Property Management qualifications. The company has also attained Bronze accreditation with Investors in People.

 

Duties include:

·         General assistance to property managers in the management of the buildings within the portfolio, as well as the business itself.

·         Responding to clients via email/ telephone and assisting where possible in the first instance.

·         Arranging for contractors to attend to leaks and other maintenance issues within buildings, where applicable logging the insurance claim, and following progress.

·         Coordinating building and facility maintenance work and calling out relevant contractors to carry out necessary repairs.

·         Keeping up to date records, contact details, parking permits, key logs and other flat, block and lessee information.

·         General administration including, filing and production of large mail merges of circulars and service charge invoices.

·         Write to clients on an ad-hoc basis with regards to invoices and breaches of the terms under instruction from the property manager.

·         Liaising with accounts and credit control departments to respond to lessees regarding service charges and lessee accounts.

·         Collation of relevant data from property managers and assist in the issue of solicitor’s pre and post sale enquiry packs and license to alters and sublets.

·         Issue Annual General Meeting notices, accounts and minutes.

·         Organise diary of key milestones for each property within the portfolio and ensure property managers arrange issue of service charge application for payments, AGM notices, annual year end accounts, Section 20 notices for large cyclical major works.
