In this capacity you assist the Executive Director in all administrative and organisational issues and you give principal support to the Education, Specialty and Science Manager, and in addition provide ad-hoc support to the teams in charge of event-/congress organisation and communications.
Your main tasks
- Overall ensuring office is running efficiently and with the necessary resources
- General office support activities including telephone, post management, meeting room preparation and follow-up, filing
- coordination of meetings, events and arrangement of related appointments
- invoice management and follow-up as required
- day-to-day communication (E-Mail and formal written correspondence)
- handling of membership requests as required
- central ordering and purchasing of all secretariat consumables
- support EAACI educational and scientific activities (abstract management, registration etc.) and correspondences with speakers and other involved persons
Your profile
- commercial background
- several years of experience as a team assistant or an office manager
- experience in a medical or scientific environment is highly desirable
- full command of the English language in writing and orally is imperative; further language skills, especially German are appreciated and may be sometimes required.
- professional experience in MS-Office, such as Word, Excel, PowerPoint, Outlook
- experience and knowledge using the program Navison is highly desirable
- willingness for a few weekend-assignments per year at international congresses
