Technology Vendor Management Office / Pre-Contract Governance Lead recruitment

The Commercial Services group operates within the Group Technology organization and is responsible for defining and managing the implementation of major offshoring and outsourcing initiatives and relationships with third-party vendors.

There are two functional elements to this role

The Commercial Services vendor management office lead works as a key part of the Commercial Services team to support the overall strategy with expert vendor and data analysis covering the portfolio of all key vendors. This will enable UBS Group Technology to define and deliver a strong vendor strategy that supports the overall strategy to reduce cost through appropriate use of sourcing decisions with external vendors.

This role is split down into the following key areas:
o Drive activities to develop and mature the services and activities from the Technology Vendor Management Office Framework to support commercial services, Technology and firm-wide strategy
o Create and maintain standardised processes and a central source of data to generate vendor-related information for all key vendors. Consolidating data from multiple sources (SDM, Finance, Group Tech, Equity Analysts, Market Sources, IBD)
o Support vendor relationship management activities
o Create and maintain relationships with the GTEC Executive Sponsors, Vendor Relationship Managers to ensure maximum commercial leverage with external vendors
o Create and maintain relationships with the Commercial services deal specialists to ensure vendor profiles are correctly leveraged during negotiations
o Create and maintain relationships with Supply and Demand Management and Group Technology executives

The Pre-Contract governance lead is primarily responsible for organising the Deal Approval Boards and owning the processes around these activities.

Specifically the role splits into the following areas

Pre-Contract Governance :
• Coordinating and operating global governance board (DRB/DAB) for GT for IT services and IT products
• Governance performance reporting and documentation
• Ensuring overall project tracking, planning, coordination and status reporting to the various stakeholders (including Senior Management) using effective communication channels and governance is audit ready at all times.
• Supporting relationship building and communications within UBS IT stakeholder community and other support units

PreContract Process Ownership :
• iSMF (Integrated Sourcing framework) implementation, artefacts development, enablement i.e. training
• Establishing projects in Managed Services model, with proper project governance (both Transition and Steady State projects), risk management, vendor /contract management,
• Sourcing enablement /training initiative with knowledge management framework
• Managing parts or whole of IT sourcing project activities to achieve high quality results within defined timelines

This role is supported by a team from UBS Krakow. Dotted line functional management of this team is also part of the role.

• Widespread cross-functional interaction with very leadership in UBS requires maturity and a strong emphasis on concise and accurate communication, both written and verbal
• Desirable: Experience and knowledge of systems development in an outsourced/offshore environment
• Desirable: Commercial contracting models and service level agreements
